Summary
Manages health information management staff and operations, ensuring HIPAA compliance while overseeing health information exchange functions and EMR workflows. This supervisory role blends mostly remote work with occasional in-person collaboration at a Wisconsin physician practice.
JOB SUMMARY:
The purpose of this position is to support the business with an emphasis in Health Information functions and the Health Information Exchange (HIE) while assuring adherence to Federal HIPAA Guidelines and provide a communication point person for providers, staff, and external entities. This job will primary be remote work with occasional in-person meetings and events.
CORE DUTIES AND RESPONSIBILITIES:
1. Provides work direction.
2. Coordinates staff schedules.
3. Oversee staff training, including creating and updating training guides.
4. Problem solves and trouble shoots department issues.
5. Conducts performance reviews.
6. Assists in recruitment and facilitates new hire training.
7. Creates reports and performs analysis.
8. Collaborates with other departments, providers and outside facilities.
9. Other duties as assigned by Manager.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Maintains patient confidentiality and abide by HIPAA laws and regulations.
2. Oversees health information functions: importing and abstracting of patient records, release of records and the patient portal.
3. Assists the EMR Manager to create, revise, train and/or implement workflow for the Health Information Exchange (HIE) and/or Oracle Cerner Direct correspondence.
4. Manages and tracks insurance payer audits to ensure timely completion.
5. Performs analysis to monitor staff production and provide feedback to staff as a group and individually.
6. Demonstrates exceptional customer service skills with patients, providers, staff and partnering medical facilities.
7. Works independently, multi-tasks and provides mentorship to the HIS Team Lead and staff.
8. Leads department meetings and staff connections.
SUPPLEMENTAL DUTIES AND RESPONSIBILITIES:
1. Assists Business Services Supervisor colleagues with staff related responsibilities for the Insurance and Accounts Receivable Departments, as needed.
2. Investigates and addresses HIPAA violations within the team. Notifies affected patients of breach in accordance with organizations policies and applicable laws.
3. Provides phone support and assist with in-house duties, as needed for coverage.
4. Works effectively under pressure in a fast-paced environment.
5. Remains flexible, adapt to change, and effectively prioritize changing workload.
6. Possess strong analytical, grammatical, spelling and communication skills.
WORKING CONDITIONS:
1. Is subject to interruptions, imposed deadlines and frequent problem-solving activities.
2. May be subject to hostile and emotionally upset patients, staff, and personnel from other agencies.

PHYSICAL DEMANDS:
1. Abide by ergonomic recommendations of the position.
2. Must possess sight/hearing senses, or use prosthetic devices that will enable these senses to function adequately.
3. Sit for several hours.
4. Subject to lifting and carrying supplies averaging 25 lbs. (i.e., cartons of paper, medical supplies, office supplies, etc.).
5. Repetitive motions involving use of phone and keyboard.
