HOBBIES COORDINATOR
We’re looking for an enthusiastic, community-driven Hobbies Coordinator to join our Purchasing team at Mighty Ape. Reporting to the General Manager - Purchasing, you’ll be responsible for maintaining our Hobby Store and running our vibrant Organised Play events.
We are currently looking for two part-time team members to split 32 hours of total weekly coverage, ensuring exceptional support and coordination for our peak weekend events:
Position 1: 20 hours per week (includes weekend shifts)
Position 2: 12 hours per week (includes weekend shifts)

YOUR RESPONSIBILITIES
- Maintain a well-coordinated monthly event schedule, planned at least one month ahead.
- Run streamlined player registration and handle payments/purchases accurately during events.
- Maintain and promote events across relevant social media channels and community groups.
- Enforce the event code of conduct and rules to keep the environment safe, respectful, and enjoyable for everyone.
- Track event results using player platforms and the Mighty Ape Event Tracker. Respond to customer queries on social media promptly and foster an inclusive environment for new players.
- Manage day-to-day order and inventory tasks across core systems (Nimda, Admin, and WMS).
- Process online cancellations, refunds, and product range adjustments accurately.
- Work closely with the wider Purchasing team and provide ad-hoc backup to customer service or the warehouse when required.
Essential
- Strong, current knowledge of the hobbies and tabletop gaming industry.
- Availability to work weekends to ensure smooth coverage for our flagship Organised Play events.
- Excellent organizational and time management skills to keep schedules and inventory on track.
- Great communication skills with a knack for digital community engagement and customer service.
Nice to have
- Previous exposure to inventory management tools or retail warehouse management systems (WMS).
- Experience running or participating in competitive gaming tournaments, local leagues, or event spaces.
