Job Title: House Manager (Meal Prep Focus)

Location: Encinitas, CA 92024

Employment Type: Part-Time | 20-25 hours per week

Schedule: Monday through Thursday approximately 1:00 PM - 6:00 PM , Friday 12:30PM-5:30PM

Compensation: $32-$36 per hour, based on experience

Start Date: ASAP

Requirements

  • Maintain a smoke-free environment.
  • Must be authorized to work in the United States.
  • Reliable personal transportation and valid driver's license required; mileage reimbursement provided.
  • Candidates are required to be up to date on recommended vaccinations in line with American Academy of Pediatrics and Centers for Disease Control and Prevention guidelines (including COVID-19 and flu).
  • Current CPR and First Aid certification required.
  • Comfortable and confident around a residential pool; ability to actively supervise children near water.

About Our Family

We are an active, on-the-go household with three kids who keep the calendar full. Between competitive sports schedules, school pickups, and two parents with demanding careers, our days move fast. We love evenings spent together around the dinner table, going for a walk and catching up on our day, or even squeezing in a late-night dip. We want our weekends to feel like time to enjoy each other — not catch-up sessions for everything that slipped through the week.

We are a values-driven family who prioritizes quality time, home-cooked meals, and a household that runs with intention rather than chaos. As our kids grow and our family's needs evolve, we are intentionally transitioning from a childcare-focused role to a true Household Manager — someone who can take ownership of the home and help keep all the moving pieces organized and running smoothly.

We have systems in place and are looking for someone who will embrace them, improve on them, and make them their own. Our home is warm, our kids are spirited and capable, and we thrive when the people around us bring calm, take initiative, and bring good energy. More than anything, we hope to find someone who wants to be with our family long term — growing with us and becoming a trusted, integral part of our household.

You are organized, task-oriented, and genuinely enjoy the satisfaction that comes from keeping a busy household running well. You are the kind of person who walks into a space, reads the room, and gets to work without needing to be told what needs doing. You are self-directed, systems-oriented, and take real pride in a well-run home. When something falls within your role, you take ownership of it, figure out the next step, and see it through.

While this is a Household Manager role rather than a childcare-focused position, you are comfortable and confident engaging with kids. You know how to connect with them, hold them accountable, and jump in when needed, while also encouraging their independence and participation in the household. You bring warmth and a sense of humor, but you can also provide clear expectations and follow-through in a way that earns respect rather than resistance.

You are warm without being overbearing, direct without being abrasive, and steady without being rigid. You are comfortable working independently when no one is home, trust yourself to make thoughtful judgment calls, and communicate proactively so the family knows things are handled. You bring good values, professionalism, and a positive attitude to work each day, respect the privacy of the family and their home, and leave personal drama at the door.

Ideally, you bring depth from a background in hospitality, executive assistance, household management, or a similar field that has taught you how to anticipate needs, manage competing priorities, and operate professionally within a private home. Most importantly, you are looking for a long-term role where you can truly take ownership, become part of the rhythm of a family, and grow with them over time.

Key Responsibilities

Family Support & Child Assistance

  • School and sports pickups, Monday through Friday
  • Occasional backup childcare with prior arrangement
  • Kid-related errands
  • Homework oversight

Meal Planning & Prep

  • Plan, shop for, and prepare 3-4 family dinners per week
  • Work from the family's existing recipe playbook and favorite meal list, with room to introduce new dishes
  • Batch cooking and menu planning preferred
  • Grocery shopping (including Costco, Trader Joe’s, Target, Instacart, and Amazon orders)
  • Follow dietary needs and restrictions (one family member has a mussels allergy)
  • Daily kitchen clean-up and maintenance

Laundry & Linen Care

  • Wash, fold, and organize laundry
  • Linen rotation and care
  • Maintain tidy, well-stocked laundry areas

Household Organization & Maintenance

  • Maintain and improve household organization systems (pantry, refrigerator, kids' closets)
  • Daily resets and home prep in advance of biweekly cleaner visits
  • Light tidying throughout the day (dishes, surfaces, high-traffic vacuuming)
  • Indoor plant care
  • Packing and unpacking support for family travel
  • Event, holiday, and guest preparation
  • Coordinate and prepare donation drop-offs

Inventory & Errands

  • Restock pantry, refrigerator, and household supplies on a running list
  • Manage household orders and subscriptions (Amazon, Costco, Target, Instacart)
  • Gift shopping
  • Break down and dispose of boxes

Vendor & Property Oversight

  • Oversee biweekly house cleaner and coordinate access for contractors and service providers
  • Be present for scheduled maintenance (e.g., appliance repair)
  • Manage outdoor spaces including pool, hot tub, sauna, and patio
  • Seasonal property maintenance reminders (power washing, window cleaning, HVAC service, cold plunge filters)

Deep Cleaning & Special Projects

  • Occasional deep cleans of refrigerator, oven, baseboards
  • Seasonal garage refresh and organizational projects (closets, gear, pantry)

Administrative & Personal Assistant Support

  • Calendar management for household and kids' activity schedules
  • Travel planning and logistics
  • Event and appointment coordination
