HR & Admin Executive
Key Responsibilities:
Human Resources Administration
- Manage the full employee lifecycle, including onboarding, offboarding, and maintaining accurate employee records and documentation.
- Prepare employment-related documents such as employment contracts, confirmation letters, disciplinary letters, and other HR correspondence.
- Coordinate staff orientation and ensure all new hires are properly inducted into the Company’s policies, procedures, and culture.
- Maintain and update employee records, leave balances, attendance records, and other HR databases with a high level of accuracy and confidentiality.
- Support recruitment activities, including scheduling interviews, coordinating with candidates, and liaising with hiring managers.
- Monitor staff probation periods and facilitate performance review processes.
- Assist in the implementation and communication of HR policies, procedures, and internal initiatives.
- Support employee engagement activities and contribute towards fostering a positive and inclusive workplace environment.
- Ensure compliance with employment regulations and internal policies, escalating concerns to Management when necessary.
Administrative Operations
- Oversee general administrative functions to ensure smooth daily operations across the business.
- Manage office supplies, stationery, and operational inventory, ensuring adequate stock levels are maintained.
- Organise and maintain proper filing systems for both physical and digital records.
- Handle incoming correspondence, documentation, and administrative requests in a timely and professional manner.
Payroll and Staff Support
- Assist in the preparation and submission of payroll information, ensuring accuracy and timely processing.
- Track staff attendance, leave applications, medical certificates, and related documentation.
- Serve as a point of contact for employees on HR and administrative matters, providing support and guidance where appropriate.
- Support the resolution of employee concerns, grievances, and workplace conflicts in a fair, professional, and confidential manner.
- Maintain confidentiality and professionalism when handling sensitive employee information.
Compliance and Documentation
- Ensure all employee records and Company documentation are complete, accurate, and up to date.
- Support audits and regulatory submissions by preparing and organising required documentation.
- Monitor the validity of work passes, certifications, and mandatory employment-related records where applicable.
- Identify potential gaps or areas for process improvement and recommend practical solutions to enhance efficiency.
