HR Data System Specialist (Workday)
Summary
Maintains and updates employee data in HRIS platforms like Workday, Mysgs, and Adrenalin, generates reports, and ensures compliance with HR policies and regulations.
Data Management and Reporting
Manages employee data accurately, including but not limited to creation, update and deletion in the HRIS
systems (eg Mysgs, Adrenalin , HRMS)
Ensures that employee data is validated against employee records or documents
Perform data entry, updates and corrections and mass upload in accordance with established processes
Conduct review of integration reports between mysgs and adrenalin. Resolve / correct any failed transactioins
encountered within the reasonable time frame
Serve as HR Analyst in mysgs to review and approve data changes e.g. reporting line, cost center, attendance,
type except promotions and organizational changes
Keep track of the resignees and ensure timely recording in the monitoring and in Adrenalin to initiate the
clearance process
Liaises with the providers of HRIS systems of issues encountered in coordination with the HRIS Data Systems
Expert and report any critical issues to the Compensation, Benefits and Compliance Manager
Monitor pending issues raised with the provider and ensure its closure
Generate standard and adhoc reports and dashboard
Support workforce, headcount , turn-over and compliance reporting e.g. CS reports and other regional and
global reports
Provides day-to-day HRIS support to endusers and works closely with HR team, Payroll , IT and other
stakeholders and business managers to support system functionality
Support system upgrades , enhancement and testing activities
Documents HRIS processes in coordination with HRIS Data System Expert
Ensures that all pertinent documents, reports required in data management are complied and submitted and
kept in the established repository system ( new hires and resignees , contracts and others)
Others
Manages RT system related to HRIS, timekeeping concerns
o Acknowledges and assigns ticket to team members
o Monitor status of tickets following the team’s KPI turn-around time and perform follow up
o Provide monthly status report of tickets
Assists in the roll out and implementation of HR program / system related to Compensation and Benefits
Conducts Shine orientation to new hires
Conducts refresher orientation on HRIS and timekeeping system
Ensures compliance with data privacy guidelines and identify any issues that may arise
Identifies and participates in the continuous improvement initiatives
Keeps abreast with the latest rulings on data management required by DOLE, BIR and other government
agencies
Performs other duties as assigned

objectives in accordance with SGS Incident Reporting and Management requirements
o Efficiently uses all equipment, including safety equipment, and company owned property in the manner
intended and reports any damaged / lost equipment to immediate superior
o Maintains a safe and tidy worksite according to the organization’s 5S program and guidelines
o Maintains awareness of the safety and health related hazards and environmental aspects and proposes
action plans to control the risks to immediate superior or QHSEE Coordinator
o Actively participates in incident investigations and risk assessments as deemed necessary by SGS
management
o Fulfills the requirements needed in the success of the QHSEE Management System
o Recognizes the potential consequences of not following the established policies, procedures, and
guidelines, including not fulfilling the organization’s compliance obligations
Profile
- Bachelor’s degree in Human Resources Business Administration and related field
- At least 2-3 years experience in HRIS, HR operations, data management or systems support
Required Skills
- Knowledge in implementation of system guidelines
