HR / Office Manager

The HR & Office Manager is responsible for overseeing both human resources functions and office administrative operations, including IT vendor coordination. This dual-role position ensures the efficient and compliant management of HR policies and practices, while also maintaining a well-supported and organized office environment.


Job Responsibilities:-

1 Administrative / Office Management

  • Oversee office rental agreements and maintenance, act as liaison with landlords and service vendors.
  • Manage procurement of office supplies such as stationery and pantry items.
  • Coordinate business travel arrangements, including flight and hotel bookings.
  • Maintain office asset inventories and support office expense tracking.

2 IT Coordination

  • Liaise with IT vendors for procurement of hardware (laptops, desktops, printers, monitors).
  • Coordinate IT vendor services for software systems including cloud platforms, email systems, and networks.
  • Support cybersecurity measures by enforcing internal protocols and collaborating with IT partners.

3 Human Resources Management

  • Manage recruitment lifecycle: job postings, liaising with third-party recruiters, and direct outreach to Institutes of Higher Learning (IHL).
  • Administer work passes, visas, and employment permit applications and renewals.
  • Execute monthly payroll and staff claims processing in line with statutory compliance.
  • Administer compensation and benefits programs including insurance (medical, travel), leave, and wellness benefits.
  • Ensure compliance with Ministry of Manpower (MOM) regulations and labour laws.
  • Maintain accurate digital and physical records of employee information.
  • Conduct onboarding for new hires and coordinate ongoing training and development.
  • Provide guidance to staff on HR policies, procedures, and employee relations matters.
  • Monitor and improve workplace culture and employee engagement.
  • Ensure adherence to workplace safety and health standards.

Requirements:-

  1. Bachelor’s degree in human resources, Business Administration, or a related field.
  2. Familiarity with Singapore employment laws and MOM regulations.
  3. Minimum 5 years of experience in HR or office administration.
  4. Additional training/certification in Payroll Management – may be advantageous.
  5. Labor Relations certification – may be advantageous.
  6. Experience as a Skills Development Facilitator – may be advantageous.
  7. Proficient in HRMS tools and MS Office applications.
  8. Excellent verbal and written communication skills.
  9. Protecting the interests of all employees.
  10. Full understanding of HR functions and best practices.
  11. Strong interpersonal and communication skills in both English and Chinese
