Admin role managing employee records, work passes, payroll, and safety training for a Singaporean construction firm.
Key Responsibilities
1. Employee Records& Documentation
● Database Management
Maintain and systematically update employee personal files (P-files), both digital and hardcopy, ensuring strict confidentiality and data protection.
● Leave &Attendance Tracking
Monitor and record employee attendance, medical leaves, and annual leaves across corporate offices and project sites.
● Work Pass Administration
Assist in the application, renewal, and cancellation of foreign worker passes (e.g., Work Permits, S-Passes, Employment Passes) in strict compliance with Ministry of Manpower (MOM) regulations.
2. Recruitment &Onboarding Support
● Onboarding Coordination
Prepare employment contracts and new-hire packages. Coordinate first-day logistics, ensuring new hires complete necessary paperwork and are scheduled for corporate and site-safety orientations.
● Offboarding
Assist with employee clearance processes, final handover documentation, and exit interviews.
3. Training &Safety Compliance
● Course Registration
Coordinate and register site personnel for mandatory industry training, includingWorkplace Safety and Health (WSHE) courses, Core Trade certifications, and specialized equipment licenses.
● Record Keeping
Track the expiration dates of employee safety certifications and arrange for timely renewals to prevent site deployment disruptions.
4. Payroll &Benefits Administration
● Time sheet Processing
Collate and verify timesheets for site workers to ensure accurate preliminary data for payroll processing.
● Claims Processing
Review and process employee expense claims, medical reimbursements, and site transport allowances in alignment with corporate policies.
