Human Resources Coordinator
Description
Hybrid in Falls Church, VA (on-site 3 days/week)
POSITION OVERVIEW:
The Human Resources Coordinator provides hands-on administrative and operational support across the employee lifecycle, with particular emphasis on recruiting coordination, onboarding, HR systems, employee records, training administration, and compliance tracking. Working closely with the Director of Human Resources in a fast-paced federal contracting environment, this role helps ensure HR processes and documentation remain accurate, timely, organized, and audit-ready. The position is well suited for a detail-oriented HR professional who can manage recurring processes independently, communicate professionally with candidates and employees, shift capacity into recruiting support as hiring volume increases, and provide limited corporate office support as needed.
KEY RESPONSIBILITIES:
- Recruiting & Talent Acquisition — Post positions, screen resumes, coordinate interviews, communicate with candidates, and support recruiting efforts as hiring needs increase.
- Onboarding & Offboarding — Initiate background checks, coordinate new-hire paperwork and orientations, and assist with employee separation activities.
- HR Operations & Records — Maintain employee files and ADP Workforce Now records, process routine employee changes, and ensure HR documentation is complete and accurate.
- Compliance Support — Track required documentation, certifications, and acknowledgements; support GovCon compliance requirements and internal audit readiness.
- Benefits Support — Assist employees with enrollment, life-event changes, and routine benefits questions.
- Performance & Training Administration — Coordinate performance-management activities and administer employee training and LMS assignments through ADP Workforce Now.
- HR Reporting — Run routine HR reports, maintain HRIS data integrity, and assist with recurring tracking and reporting needs.
- General Office Support — Provide limited office coordination, including ordering supplies, handling incoming and outgoing mail, maintaining shared spaces, and occasional conference room scheduling.
MINIMUM QUALIFICATIONS:
- High school diploma or GED.
- One to three years of experience in human resources, recruiting coordination, onboarding, HR administration, or comparable administrative support. Relevant education in human resources or business may substitute for a portion of direct HR experience.
- Experience working in an HRIS, applicant tracking system, learning platform, or comparable business system (preferably ADP WFN).
- Proficiency with Microsoft 365 applications, including Outlook, Word, Excel, Teams, and SharePoint.
- Strong organizational skills, attention to detail, and ability to maintain accurate records and meet recurring deadlines.
- Clear, professional written and verbal communication skills and a service-oriented approach with all internal and external stakeholders.
- Ability to handle confidential information with discretion and recognize when a matter requires escalation.
- Ability to manage multiple priorities, follow established processes, work independently on routine assignments, and adapt as recruiting and operational needs change.
PREFERRED QUALIFICATIONS:
- Associate or higher bachelor degree in human resources, business administration, or a related field.
- Experience with ADP Workforce Now, particularly Recruiting, Onboarding, HRIS, and Learning Management System functions.
- Experience with SharePoint, LinkedIn recruiting tools, and Adobe Acrobat Sign.
- Experience supporting a federal contractor, small business, or geographically dispersed workforce.
- Exposure to recruiting coordination, candidate sourcing, new-hire orientation, personnel-file audits, compliance tracking, or HR reporting.
Physical Demands:
While performing the duties of this job, the employee is regularly required to work at a computer, communicate by telephone, video, email, and in person, and perform typical office activities. The employee may occasionally be required to stand, walk, reach, bend, and lift or move items weighing up to 20 pounds. Reasonable accommodations may be made to enable qualified individuals with disabilities to perform the essential functions.
Work Environment:
Work is performed primarily in a professional office and remote-work environment.
