Human Resources Coordinator

Position Summary

Reporting to the Sr. HR Manager, the Human Resources Coordinator provides administrative and operational support to the Human Resources function within a unionized manufacturing environment. This role supports employee lifecycle processes, workforce administration, onboarding, HR compliance, employee relations activities, HRIS administration, and employee engagement initiatives. The HR Coordinator serves as a key resource for employees and supervisors, ensuring accurate execution of HR processes while maintaining compliance with company policies, collective bargaining agreements, and applicable employment regulations.

This is a fully onsite position requiring attendance at the facility (5) days per week. The candidate must also be flexible in adjusting their work schedule as needed to provide support to second-shift manufacturing employees and operations.

Essential Duties and Responsibilities

HR Operations & Workforce Administration
  • Provide day-to-day administrative support to the Human Resources Manager and HR department.
  • Maintain employee records and HR documentation, ensuring accuracy, confidentiality, and compliance.
  • Process employee status changes, including promotions, transfers, wage changes, job classifications, and terminations.
  • Serve as a primary HR contact for employee questions regarding policies, payroll, benefits, attendance, and workplace concerns.
  • Prepare employment-related correspondence and maintain personnel files in accordance with company policies and legal requirements.
  • Coordinate employment verification requests and other employee documentation needs.
  • Process departmental invoices.
  • Supports administration of FMLA, STD/LTD, unemployment claims, worker’s compensation, and HR audits.
  • Administer workforce processes governed by the collective bargaining agreement, including shift bids, department transfers, seniority-based movement, and overtime tracking.
  • Coordinate and track job classification changes and union-related employee data.
  • Assist with the administration of union dues deductions and related reporting requirements.
  • Review and audit timekeeping records for accuracy prior to payroll processing.
  • Assist in resolving payroll discrepancies, attendance issues, and system-related concerns.
  • Generate and distribute workforce, attendance, staffing, and manufacturing reports as required.
  • Prepare reports and metrics for weekly operational and HR Manufacturing meetings.
Onboarding and New Employee Experience
  • Partner with the Recruiter and hiring managers to support a seamless pre-employment and onboarding experience for new hires.
  • Coordinate all new hire administrative activities, including employment documentation, orientation scheduling, facility access, and onboarding communications.
  • Prepare and facilitate new hire orientation programs for hourly and salaried employees.
  • Collaborate with Operations, Safety, Payroll, IT, and department leaders to ensure new hires complete all required training, compliance, and facility-specific onboarding requirements.
  • Coordinate onboarding logistics for all employees, including badges, locker assignments, and personal protective equipment (PPE).
Employee Relations and Labor Relations Support
  • Support employee relations activities by gathering information, documenting concerns, and assisting with investigations as directed.
  • Maintain confidentiality while handling sensitive employee and labor relations matters.
  • Assist management in communicating workplace policies, procedures, and employee programs.
Manufacturing Workforce and Staffing Agency Coordination
  • Serve as the primary liaison between the organization and temporary staffing agencies.
  • Conduct roster and attendance audits to ensure accurate staffing agency billing and workforce accountability.
  • Reconcile contingent worker time records and provide documentation to agency representatives as required.
  • Partner with staffing agencies and hiring managers to address production staffing needs, shift coverage, and attendance concerns.
  • When needed, support recruiting activities by reviewing applications, maintaining candidate records in the applicant tracking system (ATS), and facilitating pre-employment screening.
  • Coordinate offboarding activities for temporary employees, including collection of company property and deactivation of facility access.
Employee Engagement and Recognition
  • Coordinate employee recognition and engagement programs, including service anniversaries, birthdays, retirement celebrations, safety incentives, and other employee events.
  • Assist with planning and executing employee appreciation activities and company-sponsored events.
  • Maintain employee communication tools, including digital displays, bulletin boards, and facility postings.
Compliance and Safety Support
  • Maintain required federal, state, local, and workplace postings.
  • Ensure HR processes comply with applicable employment laws, labor regulations, company policies, and collective bargaining agreements.
  • Support audits, inspections, and compliance reporting activities as needed.
  • Support responses to unemployment claims, worker’s compensation, employment verification requests, and HR audits.
  • Promote a safe and respectful work environment consistent with company values and safety standards.
Other Duties
  • Perform additional duties and special projects as assigned.
Minimum Qualifications
  • Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
  • Equivalent combination of education and experience will be considered.
  • Minimum of 3 years of Human Resources experience.
  • Experience supporting employee onboarding, HR administration, payroll processes, and employee relations.
  • Working knowledge of federal and state employment laws.
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent verbal, written, and interpersonal communication skills.
  • Strong attention to detail and accuracy.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Proficiency with Microsoft Office Suite and HRIS systems.
  • Strong customer service and problem-solving skills.
Preferred Qualifications
  • SHRM-CP, PHR, or other HR certification.
  • Experience supporting hourly manufacturing employees.
  • Experience in a unionized manufacturing environment.
  • Knowledge of collective bargaining agreements and labor relations practices.
  • Experience supporting multiple shifts within a manufacturing operation.
  • Experience administering leave of absence programs, workers' compensation claims, and unemployment claims in a manufacturing environment.
