HR Generalist — Assn Office

Primary Function: Human Resources
Job Purpose
Under the direction of the Chief of Staff, the Human Resources Generalist plays a key role in the human resources department and is directly responsible for data entry into the HCM system, auditing, reporting, and related system processes, hiring, and onboarding. This role helps lead recruitment efforts and has the key responsibility of taking a candidate from job offer to ready-to-work status, along with related employee communication. Additionally, this position leads and manages benefits, including all related functions, and monitors compliance and training/certification management. The position is part of a team and supports other positions as needed related to overall HR functions within the framework of established policies, procedures, and instruction. Critical areas of expertise include previous experience in a human resource setting, being highly organized and detail-oriented/accurate, deadline-driven, comfortable with high-volume processing, and experienced with HCM systems and high-level customer service.
Essential Functions - Recruitment, Hiring & Onboarding Administration
- Lead hiring and onboarding of new employees, taking candidates from job offer to ready-to-work status, including related employee communication. (Coordinate closely with the Talent Acquisition Director, who leads full-cycle recruitment strategy and sourcing per that role's job description — HR Generalist owns the post-offer/administrative handoff.)
- Help develop and lead recruitment efforts in partnership with the Talent Acquisition Director.
- Ensure all new hires complete required training within required timelines.
HCM/HRIS Data & Records Management
- Input new hire information into the HCM database within 24 hours of receipt of information.
- Create, maintain, process, and monitor electronic personnel files and other Human Resources records (e.g., I-9 forms) for compliance with YMCA of Greater Tulsa, state, and federal guidelines.
- Run regular audits to ensure accuracy of HCM system data.
- Update and maintain records.
- Oversee HR systems and employee records to ensure accuracy and improve overall HR operations effectiveness.
- Ensure timely and accurate submission of required data to the EEOC, YMCA of the USA, Department of Labor, and other agencies.
Benefits Administration
- Manage the benefits program, including enrollment, maintenance, and related administration.
- Coordinate benefit plan communication for staff.
- Assess the competitiveness of human resources programs and practices against relevant markets and recommend improvements.
Compensation Administration
- Administer compensation programs in UKG, including job description and classification maintenance, salary structure administration, and salary adjustments.
Employee Relations & Performance Management
- Administer day-to-day performance management and appraisal program processes; provide guidance and assistance to employees and supervisors with questions and workplace problems.
- Support consistent, fair resolution of employee relations issues in partnership with branch leadership.
Compliance, Certifications & Confidentiality
- Track all certifications for YMCA employees and ensure compliance.
- Administer organizational HR policies and structures that remove barriers and foster equity and inclusion for all.
- Maintain and monitor the Association's compliance program related to employment laws and regulations; escalate emerging legal or regulatory issues to the Chief of Staff and YMCA legal counsel.
- Remain current with employment laws, regulations, industry trends, and applicable HR practices.
- Must maintain complete confidentiality and nondiscriminatory actions related to all records, conversations, and documents.
- Adhere to all organizational policies and procedures regarding the prevention of abuse.
- Report any suspected abuse, neglect, or misconduct immediately to the appropriate supervisory staff.
- Attend mandatory training on abuse prevention, including recognizing signs of abuse and reporting requirements.
General HR Office Support
- Assist with the day-to-day efficient operations of the HR office, including serving as backup to other HR positions as needed.
- Other duties as assigned.
Qualifications Required
- Bachelor's degree (BA/BS) or an equivalent combination of education and experience.
- Excellent interpersonal skills; enjoys working in a team environment.
- Minimum 3 years' experience in human resources, hiring, and supervising.
- Comfortable with IT and proficient in learning systems related to HR and compliance.
- Proficient in Microsoft Office (Word and Excel).
- Experience working in an office environment.
Qualifications Preferred
- Excellent written and oral communication skills.
- Current CPR/AED/First Aid/O2 certification.
- Bilingual (English/Spanish).
- Experience with UKG.
- PHR/SHRM-CP certification.
