Job Summary

The Human Resources Coordinator guides and supports employees and managers on all aspects of policy interpretation, recruitment, health and safety, employee relations, payroll, benefits and training.

Duties and Responsibilities

Recruitment – assisting hiring managers with submitting job requisitions, creating, and posting job descriptions/ads on different job boards, review resumes, call and screen candidates, arrange interviews between candidates and hiring managers, conduct interviews, arranging background/reference checks

Employment Contracts – preparing employment contracts (Canada/USA) sending to candidates for hire, answering candidate questions related to contract, ensuring contracts are signed

Onboarding – setting up new hires to complete onboarding in Dayforce (creating employee numbers, entering employee details such as SIN, address, reporting manager, salary, pay type, pay class, emergency contact, etc.) Ensure new hire documentation is completed correctly (tax forms, entering banking information, benefits enrollment)

Training – setting up new hires to complete regulatory training, answering questions, and following up to ensure completion (WHMIS, Workplace Violence and Harassment, Health and Safety in 4 Steps), conducting HR New Hire Orientations

Payroll – entering hourly employee schedules on timesheets in Dayforce for all divisions, reviewing timesheets for each Unisync pay group and location, follow up with managers to authorize missed hours and approve pending sick or vacation days. Assisting managers with any issues related to schedules or inputting days (sick, vacation, birthday) on timesheets. Lock timesheets for all locations, process and calculate payroll for each Unisync pay group, do quick entries when required (adjustments, salary continuance, expense reimbursements, etc.), process terminations or LOA for employees in Dayforce then process ROE with appropriate pay period number, adjust ROE’s when requested by employees or Service Canada, adjusting of T4s. Process other changes related to payroll in Dayforce ex. salary, promotions. Answer employee questions related to payroll (vacation days, sick days, updating banking information, etc.). Prepare the Payroll Summary Report to be sent to President Bi-Weekly after payroll commit. Work with Dayforce support to resolve any system issues.

Dayforce – support employees, managers, and new hires with navigation of Dayforce (re-setting passwords, updating job titles, updating reporting managers, updating work locations, downloading reports) updating employee details (phone numbers, addresses, emergency contacts, banking, etc.) Uploading job descriptions into Dayforce (English and French).

Benefits Enrollment – enter employee details into IA, Guardian and update employee information when required, terminate employees in IA and Guardian when required, pay Guardian bill (US benefits) monthly, answer benefits related employee questions, provide employees correct documentation to complete for any benefit change request.

Employee Letters – prepare employment verification letters for employees when requested

Employee Engagement Activities – assist with planning engagement activities for Mississauga and Guelph office

Listening to employee concerns or complaints, providing guidance
