Job Summary
The Human Resources Specialist provides practical, consistent, and proactive HR support, guidance, and advisory services to department managers across the organization. This role ensures the effective application of HR policies, procedures, best practices, employment legislation, compensation, and benefits.
The HR Specialist is responsible for delivering end-to-end human resources support, including recruitment, onboarding, training, employee relations, performance management, compensation administration, and policy development. The role also ensures that personnel policies, policy manuals, and the employee handbook are developed, maintained, and kept current in alignment with legislative and organizational requirements.
Key Responsibilities
HR Advisory & Employee Relations
- Provide consistent guidance and advice to managers on grievance handling, attendance management, disciplinary actions, and performance management issues.
- Proactively identify HR risks and emerging issues, recommend practical solutions, and develop appropriate action plans.
- Coach and support managers on complex and sensitive employee relations matters.
- Receive employee complaints, conduct assessments or investigations as required, and support fair and timely resolution.
Policy Development & Legislative Compliance
- Review, revise, and update HR policies and procedures to ensure compliance with new or changing employment legislation.
- Develop, maintain, and update personnel policies, policy manuals, and the employee handbook.
- Brief managers and employees on organizational policies, procedures, and legislative changes in collaboration with learning and development initiatives.
Recruitment & Talent Acquisition
- Define recruitment strategies and establish high-standard recruitment principles aligned with organizational objectives.
- Organize and conduct recruitment and selection activities, including employee testing and assessments.
- Prepare and post job advertisements, screen applications, coordinate interviews, and participate in candidate selection.
- Administer pre-employment testing and ensure completion of required onboarding documentation.
Onboarding, Training & Development
- Administer and monitor new employee orientation and onboarding programs.
- Conduct new hire orientation sessions and support training initiatives related to benefits, diversity, policy changes, and organizational programs.
- Assist with monitoring and supporting the employee performance appraisal process.
Compensation, Benefits & Employee Engagement
- Administer and maintain accurate and up-to-date records related to employee compensation and benefits.
- Collect and analyze employee feedback related to compensation, working conditions, and overall satisfaction.
- Prepare documentation for new hires and for changes in pay, employment status, or benefits.
HR Administration & Records Management
- Establish, maintain, and control employee personnel files, recruitment records, correspondence, reports, and organizational charts.
- Prepare HR documentation related to hiring, promotions, terminations, and employment changes.
- Provide general administrative support, including preparing correspondence, reports, forms, meeting coordination, minute-taking, deadline tracking, and filing (electronic and hard copy).
- Handle confidential and sensitive information with professionalism and discretion.
Qualifications & Experience
- Post-secondary education in Human Resources Management or a related field.
- CHRP or CHR designation considered an asset.
- Minimum of two (2) years of direct experience in a Human Resources Generalist or similar role.
- Strong working knowledge of Ontario employment legislation, including:
- Ontario Human Rights Code (including duty to accommodate)
- Occupational Health and Safety Act (OHSA)
- Workplace Safety and Insurance Act (WSIA)
- Employment Standards Act (ESA)
- Excellent interpersonal, organizational, problem-solving, critical-thinking, and decision-making skills.
- Demonstrated ability to exercise sound judgment, tact, and discretion when handling confidential or sensitive information.
- High attention to detail with strong analytical skills and the ability to develop targeted, proactive HR solutions.
- Exceptional written and verbal communication skills, demonstrating a high level of professionalism.
- Strong relationship-building skills with the ability to partner effectively with stakeholders at all levels.
- Proven time-management skills with the ability to prioritize and meet deadlines in a fast-paced environment.
- Ability to work independently with minimal supervision as well as collaboratively within a team environment.
