Job Summary:
YouTheFan is seeking a highly organized, detail oriented Inside Sales Support Specialist to support our growing customer base and sales team. This position is responsible for accurately processing customer orders from start to finish while ensuring that each order meets the specific requirements and expectations of the individual customer. This position combines customer service, order entry, sales support and account coordination.
The ideal candidate is an experienced, self-motivated professional who can manage multiple priorities, work independently, and maintain a high level of accuracy in a fast-paced environment. This role requires someone who is comfortable working with large amounts of data and who understands that small details can have a significant impact on customer satisfaction, order fulfillment, and profitability.
- Process and manage customer orders accurately and efficiently from order entry through shipment.
- Understand and apply the specific requirements of each customer, including:
*Customer-specific discounts and pricing
*Shipping requirements and freight responsibilities
*Minimum/maximum shipment quantities
*Customer-specific packaging and labeling requirements
*Routing and shipping instructions
*Purchase order requirements and other account-specific guidelines
- Review orders carefully to identify errors, discrepancies, missing information, or special requirements before processing.
- Enter and maintain a high volume of order and customer data with a high degree of accuracy.
- Print shipping labels, packing slips, and other required documentation.
- Coordinate with the warehouse and sales team to ensure orders are processed and shipped correctly.
- Maintain accurate product information, pricing, images, descriptions, and other required information on customer/vendor platforms.
- Update and maintain customer-specific information and requirements within internal systems.
- Monitor customer portals and platforms for updates, new requirements, or changes that may affect orders.
- Research and resolve order discrepancies and customer requirements independently.
- Communicate with customers and internal departments when clarification or additional information is needed.
- Maintain organized records and documentation related to customer accounts and orders.
- Identify potential issues before they become order, shipping, or customer-service problems.
- Assist the sales team with administrative and operational support as needed.
- Take ownership of assigned responsibilities and follow tasks through to completion without constant supervision.
Qualifications
- Previous experience in inside sales support, sales operations, customer service, order management, order entry, or a similar role in a production/warehouse environment.
- Exceptional attention to detail and a strong commitment to accuracy.
- Ability to multitask and prioritize competing deadlines.
- Strong organizational and time-management skills.
- Ability to learn and retain the unique requirements of multiple customers.
- Strong data-entry skills with a proven ability to maintain accuracy while working with a high volume of information.
- Comfortable working independently and making decisions within established guidelines.
- Strong computer skills and ability to learn multiple software systems and customer platforms.
- Ability to identify inconsistencies and ask questions when information does not appear correct.
- Strong written and verbal communication skills.
- Ability to work effectively in a fast-paced environment where priorities can change.
- Dependable, accountable, and proactive work style.
The successful candidate is someone who does not need to be told every step of the process. They are able to learn a customer’s requirements, remember the details, recognize when something doesn't look right, and take the initiative to find the answer.
This person should be comfortable managing numerous orders and tasks simultaneously without sacrificing accuracy. They understand that accuracy, organization, and attention to detail are critical to the success of the sales and fulfillment process.
