Intern: Project Coordinator
- Assist with day-to-day B2B administrative activities and operational support.
- Support the preparation and processing of quotations, customer orders and invoices.
- Assist with customer onboarding processes, including collecting documentation and tracking approvals.
- Support supplier onboarding and maintain supplier records and documentation.
- Maintain customer, supplier and project registers.
- Update project trackers, action lists, timelines and outstanding item registers.
- Follow up on outstanding quotations, approvals, orders, information and deliveries.
- Assist with purchase orders and verify information against quotations and invoices.
- Capture and validate pricing, quantities and other numerical information.
- Support project cost tracking and budget monitoring where required.
- Liaise with internal stakeholders and suppliers regarding pricing, stock availability, lead times and deliveries.
- Assist with customer communication and general project administration.
- Support the coordination of B2B projects from quotation through to delivery and installation.
- Maintain organised electronic filing systems and project documentation.
- Prepare and update spreadsheets, schedules, reports and presentations.
- Assist with meeting coordination, note-taking and follow-up actions.
- Support the Head of B2B with additional administrative and project-related requirements.
Qualifications and Experience:
- A degree or diploma in Business Management, Business Administration, Supply Chain Management, Project Management, Procurement, Commerce, Retail Management, Hospitality Management, or a related business qualification.
- Previous work experience is not essential.
- Relevant vacation work, internships, part-time employment, university projects or practical experience will be advantageous
Skills:
- Comfortable working with numbers and demonstrating sound numerical ability.
- Strong attention to detail and commitment to accuracy.
- Proficient in Microsoft Office, particularly; Microsoft Excel, Microsoft Outlook, Microsoft Word, Microsoft PowerPoint, Microsoft Teams and Smartsheets.
- Ability to learn and navigate new systems, including BC and Claude.
- Good written and verbal communication skills.
- Strong organisational and administrative capabilities.
- Ability to manage multiple tasks and deadlines effectively.
- Comfortable working with spreadsheets, reports and administrative documentation.
- Ability to communicate professionally with colleagues, customers and suppliers.
- Strong planning, coordination and follow-up skills.
