Talent Acquisition Coordinator – Screening & Recruitment Operations Location: Remote – India Duration: 6 Months+ Immediate joiners are preferred. Stipend: INR 10,000 per month

About the Role We are looking for a highly organized, proactive, and communication-driven Talent Acquisition Coordinator to support our fast-paced hiring team. This is not just an interview scheduling role. You will be actively involved in the early stages of the recruitment process — speaking with candidates, conducting initial screening calls, explaining opportunities, coordinating interviews, driving follow-ups, and ensuring candidates move smoothly through the hiring process. You will often be the first point of contact for candidates, so we are looking for someone who can represent the company professionally, communicate confidently, build candidate interest, and deliver an excellent candidate experience. The role requires someone who is comfortable handling a high volume of candidate conversations, screening calls, interviews, and follow-ups every day while maintaining accuracy and responsiveness.

What You’ll Do Candidate Screening & Engagement

  • Conduct initial screening calls with candidates to understand their experience, skills, current role, career interests, notice period, compensation, location, and other relevant details.
  • Handle a high volume of screening calls and candidate conversations every day.
  • Understand the basic requirements of different roles and confidently explain the opportunity to candidates.
  • Brief candidates on the role, team, interview process, company, products, work culture, and expectations before interviews.
  • Build candidate interest by effectively communicating the value proposition of the role and organization.
  • Assess basic candidate fit and capture structured screening notes for recruiters and hiring managers.
  • Identify potential concerns or red flags during initial candidate conversations and highlight them to the recruiter.
  • Handle basic compensation and expectation conversations professionally. Interview Scheduling & Coordination Coordinate and schedule interviews across candidates, recruiters, hiring managers, and interview panels. Manage calendars, interview invitations, meeting links, reminders, and interview logistics. Handle multiple interview schedules simultaneously across different roles. Manage reschedules, cancellations, interviewer conflicts, candidate availability issues, and last-minute changes efficiently. Ensure candidates have all necessary information before every interview. Confirm candidate and interviewer availability and proactively minimize interview no-shows. Coordinate multi-round interview processes and ensure smooth movement of candidates between stages. Follow-ups & Process Ownership Actively follow up with candidates throughout the recruitment process and keep them engaged. Follow up with interviewers and hiring managers for pending interview feedback. Ensure feedback is captured on time and candidates are moved to the next stage without unnecessary delays. Follow up with candidates for assignments, documents, availability, offer discussions, and joining-related requirements. Keep candidates informed about their application status and next steps. Identify process bottlenecks and proactively escalate delays or issues to the recruiter. Take ownership of assigned candidates from initial screening through interview coordination and closure. Candidate Experience & Communication Act as a reliable point of contact between candidates, recruiters, hiring managers, and interview panels. Provide a professional, responsive, and positive candidate experience throughout the process. Draft clear and professional emails, WhatsApp messages, interview invitations, follow-ups, and candidate communications. Maintain strong written communication with minimal grammatical or formatting errors. Handle candidate questions professionally and know when to involve the recruiter or hiring manager. Build rapport with candidates while maintaining professionalism. Handle candidate concerns, interview delays, rejections, and other sensitive conversations appropriately. Recruitment Operations Maintain accurate candidate information, screening notes, interview status, and feedback in the ATS and hiring trackers. Ensure recruitment data is updated immediately and accurately. Support recruiters with offer coordination, documentation, reference checks, and onboarding follow-ups where required. Maintain confidentiality of candidate, compensation, and hiring-related information. Support recruitment reporting and track operational metrics such as interviews scheduled, screening calls, pending feedback, candidate drop-offs, and closures. Ensure recruitment processes and internal hiring guidelines are consistently followed. AI & Productivity Tools Use tools such as ChatGPT and other AI/productivity tools to improve recruitment efficiency. Draft professional candidate communication, screening summaries, interview notes, and follow-up messages using AI tools. Use AI to summarize candidate information and structure screening feedback. Identify opportunities to automate repetitive recruitment coordination and administrative work. Continuously look for smarter and faster ways to manage high-volume recruitment operations. What We’re Looking For 0–1 year of experience in Talent Acquisition, Recruitment Coordination, Recruitment Operations, HR Coordination, or a similar role. Strong freshers/internship candidates can also be considered. Excellent verbal communication skills and confidence speaking with candidates. Strong written communication skills with the ability to draft professional emails and messages. Comfortable conducting multiple screening calls and candidate conversations every day. Ability to understand a job description and explain the role clearly to candidates. Ability to communicate and sell the company, product, role, team, and culture to prospective candidates. Basic understanding of candidate screening and recruitment processes. Strong follow-up skills with a high sense of ownership and urgency. Excellent organizational and multitasking abilities. Ability to coordinate multiple interviews and stakeholders simultaneously. Strong attention to detail and process discipline. Comfortable working with hiring managers, interviewers, candidates, and recruiters. Ability to prioritize tasks in a high-volume and fast-changing environment. Comfortable using Google Workspace/MS Office and recruitment trackers. Exposure to ATS platforms is preferred. Comfortable learning and using AI tools such as ChatGPT. Persistent: You actively chase pending feedback and next steps while maintaining professionalism. Candidate-focused: You understand that every interaction contributes to the employer brand. Ownership-driven: Once a candidate or activity is assigned to you, you take responsibility for driving it forward. Comfortable with volume: A busy day with multiple screening calls, interviews, reschedules, follow-ups, and stakeholder conversations does not overwhelm you. Preferred Previous internship or work experience in recruitment or Talent Acquisition. Experience conducting initial candidate screening calls. Experience coordinating high volumes of interviews. Exposure to technology/product hiring. Experience using an ATS or recruitment CRM. Experience communicating with candidates through email, phone, LinkedIn, and WhatsApp. Basic understanding of compensation, notice periods, offers, and candidate negotiation. Experience working in a startup, SaaS, technology, or product organization.

What You’ll Learn This role provides hands-on exposure to the complete recruitment lifecycle rather than only administrative coordination. You will learn how to screen candidates, understand different roles, engage and influence talent, work with hiring managers, manage recruitment operations, and eventually grow toward a broader Talent Acquisition/Recruiter role.
