Inventory Controller

Purpose of the Role
We are seeking a highly capable Inventory Controller to lead and manage day-to-day Inventory Management operations for a key Life Sciences & Healthcare customer in Singapore. This position is responsible for ensuring inventory accuracy, integrity, and regulatory compliance across warehouse operations supporting Life Sciences and Healthcare customers. This role oversees inventory control activities, serves as the Warehouse Management System (WMS) Super User, and drives continuous improvement by optimizing warehouse processes, including putaway, replenishment, slotting, and picking strategies.
This role will work closely with Operations, Quality Assurance, Customer Service, IT, and Engineering teams, this role ensures inventory accuracy, product traceability, system integrity, and compliance with Good Distribution Practice (GDP), delivering a consistency high level of customer satisfaction, and company standards.
This is a 5.5 day work week role and is based in ACW building.
Key Responsibilities
Inventory Management & Control
- Maintain accurate inventory records within the Warehouse Management System (WMS) and ERP systems.
- Monitor inventory levels and ensure stock accuracy through cycle counts, stock audits, and annual physical inventory exercises.
- Investigate, reconcile, and resolve inventory discrepancies, implementing corrective and preventive actions where required.
- Process inventory adjustments with appropriate approvals and supporting documentation.
- Ensure all inventory transactions (receiving, putaway, replenishment, picking, packing, shipping, returns, quarantine, and destruction) are accurately recorded in the WMS.
- Monitor inventory aging, shelf life, and expiry dates, ensuring compliance with FEFO (First Expiry, First Out) or FIFO (First In, First Out) principles.
- Maintain complete product traceability, including batch/lot numbers, serial numbers, and expiry dates, to support regulatory compliance and product recall readiness.
Warehouse Management System (WMS)
- Serve as the Super User for the Warehouse Management System (WMS), providing first-level system support, troubleshooting, user guidance, and coordination with IT and system vendors.
- Configure, maintain, and continuously improve WMS parameters to support efficient warehouse operations.
- Review, analyze, configure, and optimize putaway, replenishment, slotting, and picking strategies to improve storage utilization, inventory availability, productivity, and order fulfillment efficiency.
- Analyze warehouse layouts, inventory flow, storage profiles, and operational data to identify opportunities for process improvement.
- Support WMS upgrades, enhancements, testing, user acceptance testing (UAT), and implementation of new functionalities.
- Develop and maintain WMS standard operating procedures (SOPs), work instructions, and training materials.
- Train warehouse users on WMS processes and best practices to ensure consistent system utilization and compliance.
Compliance & Quality
- Ensure compliance with Good Distribution Practice (GDP), Quality Management System (QMS) requirements, ISO standards, and customer quality agreements.
- Maintain inventory records and documentation in accordance with company SOPs and regulatory requirements.
- Support internal, customer, and regulatory audits by providing accurate inventory records and traceability documentation.
- Ensure proper control of released, quarantined, rejected, returned, and blocked inventory.
Reporting & Continuous Improvement
- Prepare inventory reports, KPI dashboards, variance analyses, and management reports.
- Monitor inventory performance and recommend improvements to increase inventory accuracy and operational efficiency.
- Collaborate with cross-functional teams to support new implementations, warehouse projects, and continuous improvement initiatives.
- Identify and implement opportunities to improve warehouse productivity, storage utilization, inventory visibility, and customer service performance.
Customer Relationship Management
- Act as the key inventory management contact for the customer, ensuring smooth communication, quick issue resolution, and alignment with business objectives.
- Lead inventory management related performance reviews and discussions. Monitor the inventory health in the operations and identify improvement opportunities.
- Understand evolving customer needs and proactively offer value-added solutions.
Cost & Resource Management
- Drive inventory management productivity, continuous improvement efficiency and cost control initiatives.
- Provides inventory resource planning and management
- Support business planning, forecasting, and budgeting processes.
Stakeholder & People Management
- Build strong relationships with internal stakeholders – commercial, finance, IT, Quality, Customs, HR, and leadership.
- Manage staffing, training, and performance of inventory management teams.
- Foster a culture of accountability, safety, and delivering performance.
- Process review, Improvement & Compliance
- Lead continuous improvement projects to enhance productivity, service quality, and safety.
- Ensure documentation and SOPs are updated and aligned with audit requirements.
- Prepare for and support internal and external audits (quality, regulatory, and customer).
Qualification & Experience
- Bachelor’s degree or Diploma in Logistics, Supply Chain Management, or related field.
- Minimum 3 to 5 years of relevant experience in inventory control or warehouse operations
- Prior experience in Life Sciences& Healthcare logistics is strongly preferred.
- Sound knowledge of warehouse automation, WMS, and cold chain logistics.
- Demonstrable understanding of performance management, P&L management and financial reporting.
- Proven leadership, problem-solving, and customer management skills.
- Business Competency
- Hands-on experience with Warehouse Management Systems (WMS), with Infor WMS experience strongly preferred.
- Proven ability to analyze, configure, and optimize WMS processes, including putaway, replenishment, slotting, and picking strategies.
