Key Responsibilities:

Inventory Management & Tracking

  • Monitor inventory levels at our warehouse, co-packer and 3PL locations to ensure accuracy, availability, and timely replenishment.
  • Maintain accurate SKU, item, location, and inventory-related master data, including recurring mid-week SKU updates.
  • Maintain accurate inventory records for raw materials, work-in-process, finished goods, beverages, merchandise, promotional materials, and retail products across all locations.
  • Track and manage inventory of promotional goods, including marketing materials, event assets, and sales collateral to ensure availability for campaigns, events, and field teams.
  • Oversee inventory movements, receipts, transfers, adjustments, returns, and stock status changes; investigate and resolve discrepancies promptly.
  • Coordinate stock movements between warehouses, retail, co-packers, 3PLs, and fulfillment sites, with clear documentation and communication.
  • Own the returns workflow end-to-end, including return locations, re-receipt into inventory, and adjustment reason codes for retail and fulfillment, with clear documentation.

Cycle Counts & Inventory Accuracy

  • Serve as the operational owner of inventory accuracy and inventory workflows within Acumatica, including warehouse/location setup, inventory transactions, and data integrity.
  • Run weekly cycle counts for the retail store and monthly cycle counts for the production facility and 3PL partners, ensuring all counts are completed before month-end close.
  • Own the reporting of cycle counts and physical inventory process end-to-end, including adjustment entries and allocation of committed inventory not reflected in count reports.
  • Define, track, and report Inventory Record Accuracy (IRA), including an aggregate physical vs. digital accuracy measure per location at each facility.
  • Investigate and resolve inventory discrepancies, negative inventory, duplicate transactions, and unusual activity to research root causes of variances.
  • Establish controls for aged, damaged, and slow-moving inventory, and coordinate disposition plans (e.g., donations) for obsolete stock.

Inventory Planning & Reporting

  • Support demand forecasting and production planning with real-time inventory data, working with the Production Manager to align schedules with demand and projections.
  • Set and maintain safety stock levels in Acumatica, keeping inventory at target levels above safety thresholds.
  • Develop dashboards, automated alerts, and exception reports for inventory availability, safety stock, replenishment needs, backorders, and discrepancies.
  • Track inventory KPIs such as turnover rates, aging, shrinkage, and valuation; collaborate with Finance on inventory reporting and COGS tracking.
  • Prepare and maintain regular inventory projections versus actuals reporting, inventory balances, and replenishment reports for operational stakeholders.
  • Own the daily and weekly order calculation process for apparel, promo goods, and beverage, maintaining target stock-on-hand levels and scheduling transfers accordingly.
  • Analyze inventory trends and exceptions to recommend changes to stocking policies, process controls, and resource priorities.

Cross-Functional Collaboration

  • Serve as the point of contact for transfers, inventory logistics, and inventory-related inquiries, both internally and with 3PL partners.
  • Collaborate with the Production Manager to ensure the production schedule aligns with current demand and inventory projections
  • Collaborate with the Compliance Manager to accurately complete manufacturing orders in the ERP system with correct batch information, maintaining traceability and compliance.
  • Collaborate with the Supply Chain Manager to ensure material availability and smooth inbound-outbound transitions.
  • Communicate regularly with production, finance, sales, and logistics teams to address inventory and fulfillment needs.
  • Establish and run a forecasting and intake process with Marketing, Sales, and event stakeholders to forecast and communicate merchandise and promotional needs before launches, campaigns, and events.
  • Create and maintain SOPs, training materials, and documented workflows; support user adoption and continuous improvement as facilities and sales channels expand.

Administration and Software

  • Initial management of an Inventory Coordinator, with expected growth and added personnel as the company scales.
  • Inclusion into our EMS, Ninety, with cross functional weekly meetings and owned metrics across teams.
  • Timeclock management of Direct Reports through Gusto.

Qualifications

  • 3+ years of inventory management, inventory control, or inventory accounting experience, ideally in CPG, cannabis/hemp, food & beverage, or another physical-goods environment
  • Hands-on experience with an ERP/MRP system (Acumatica, Katana, NetSuite, or similar), including cycle counts, inventory adjustments, and allocation of committed inventory
  • Comfort with lot/batch tracking and traceability requirements
  • Experience with managing cycle count and physical inventory programs across multiple locations (warehouse, retail, 3PL)
  • Strong Excel/Google Sheets skills, with comfort building reporting and dashboards from inventory data
  • Experience coordinating with 3PLs and/or co-packers, including managing the data and communication gaps that come with them
  • Sharp analytical skills and comfort digging into root causes of discrepancies rather than just patching symptoms
  • Strong cross-functional communication skills, translating inventory issues for warehouse staff, retail, finance, and leadership alike
  • High attention to detail paired with the ability to prioritize when daily priorities are constantly rotating

Nice-to-Haves

  • Experience in the cannabis, hemp, or another regulated CPG industry
