Museum Operations Liaison

Summary

Maintains museum facilities, audio-visual systems, and interactive exhibits while coordinating with IT for repairs and installations to ensure smooth operations.

The Museum Operations Liaison is responsible for supporting a fully functioning and welcoming environment for visitors, employees, and volunteers. This position performs troubleshooting/interface for repairs across building systems, supports exhibits and programs and assists with event set-ups and logistics. The role works closely with AQHA’s facility and IT departments to ensure optimal museum operations

Responsibilities:

The following statements describe the principal functions of this position and are not intended to be an exhaustive list of all responsibilities:

  • Perform routine inspections and reporting of the museum’s interior and exterior, including exhibits, audio/visual equipment, , all interactives as well as ensuring systems operate safely and efficiently and coordinates with AQHA facilities department to address any issues.
  • Coordinate completion of general repairs and minor construction and escalate to AQHA facilities team and external vendors as needed.
  • Maintain the presentation and overall appearance of exhibit galleries and public areas; assist with the assembly, disassembly, touch-up painting, and general upkeep of exhibits as needed. Coordinate with third party vendors to ensure museum areas are clean.
  • Coordinate with AQHA IT department to install, troubleshoot, and maintain interactive exhibit components and related electronics to support exhibit functionality.
  • Develop and maintain technology repair and replacement schedule
  • Maintain oversight and completion of facility condition report.
  • Monitor fire, life safety, moisture, and intrusion detection systems; support compliance with organizational safety and security procedures and coordinate with third party vendors to address any issues.
  • Load and unload materials and equipment; transport supplies and inventory to staff, stakeholders, and off-site events or storage locations.
  • Coordinate the purchasing and pickup of supplies and materials required for staff meetings, and daily museum operations. Set up, move, and break down furniture and A/V equipment in support of meetings, programs, and facility rental events.
  • Maintain accurate maintenance logs and records; assist in obtaining vendor quotes and coordinating contracted services as directed.
  • Track and maintain inventory of tools, equipment, lighting, and cleaning supplies.
  • Perform regular assessments of bronze statues and outdoor installations to support preservation, cleanliness, and overall museum appearance.
  • Manage installation and orders of donor plaques and other recognition items
  • Coordinate with museum team on ensuring proper storage of artifacts and exhibit equipment, troubleshooting exhibit wear/tear and repair needs, maintaining storage facilities, building custom mounts, etc.
  • Perform other duties as assigned by Director.
  • Other duties as time permits supporting Foundation events and activities.

Qualifications and Requirements

Education and Experience:

  • High school diploma or equivalent required.
  • Preference for a minimum of 4 years of experience in facility and audio/visual management.
  • Experience in museums, hospitality, education, or similar public-facing environments preferred.

Knowledge, Skills, and Abilities:

  • Working knowledge of audio-visual systems, digital interactives and associated hardware/software and lighting and sound system.
  • Working knowledge of preventative maintenance practices
  • Basic understanding of HVAC, electrical, and plumbing systems•
  • Ability to troubleshoot maintenance issues and coordinate repairs with attention to detail and safety.
  • Ability to work independently and collaboratively in a team environment.•
  • Strong organizational skills with the ability to prioritize tasks and respond to urgent needs.
  • Ability to observe and follow museum conservation policies
  • Computer proficiency, including email, recordkeeping systems, and Microsoft Office applications.

Physical Requirements

  • Ability to lift and carry up to 50 pounds.
  • Ability to stand, walk, bend, kneel, and climb ladders for extended periods.
  • Ability to work in mechanical rooms, utility spaces, and varying environmental conditions.
  • Ability to safely operate tools and equipment associated with facility maintenance.

Work Environment and Schedule

  • Work is performed in a museum environment, including public spaces, exhibit areas, and mechanical rooms.
  • Schedule may include weekends, evenings, and occasional on-call or emergency response to support operations and events. Flex schedule will be offered to cover after-hour events.
