IT Operations & Compliance Administrator

**This position is a direct hire for one of our clients. This position will work in office M-F. Eligible candidates must currently reside in the US and authorized to work in the US without visa sponsorship.**

Our client is seeking a detail-oriented IT Operations & Compliance Administrator to support IT financial administration, audit coordination, compliance tracking, reporting, and process improvement initiatives.

This is an IT business operations role, not a traditional system administrator position. The ideal candidate is organized, dependable, technically curious, and capable of independently managing deadlines, documentation, and follow-up activities. This position will also help improve and automate manual financial, audit, compliance, and operational processes.

Responsibilities

IT Financial Administration

  • Reconcile IT invoices, purchases, credit card transactions, and recurring vendor expenses.

  • Allocate technology costs to appropriate projects and cost centers.

  • Process back-billing and maintain subscription and expense records.

  • Track IT spending, contracts, renewals, licenses, telecommunications, and vendor commitments.

  • Coordinate with Finance, Accounts Payable, Procurement, vendors, and business stakeholders.

  • Support budgeting, forecasting, accruals, and financial reporting.

Audit & Compliance Support

  • Coordinate evidence collection for internal and external audits.

  • Partner with IT and business departments to gather required documentation.

  • Track audit requests, deadlines, approvals, remediation activities, and outstanding items.

  • Lead auditor meetings and serve as a primary point of contact for IT audit activities.

  • Manage meeting agendas, action items, follow-up, and documentation.

  • Review audit evidence for accuracy and completeness.

  • Maintain audit trackers, compliance records, policies, procedures, and review schedules.

IT Operations & Process Improvement

  • Maintain operational trackers, project records, action items, and department documentation.

  • Support Jira reporting, dashboards, and administrative activities.

  • Track contracts, warranties, licenses, renewals, equipment, and vendor information.

  • Prepare monthly metrics, reports, and leadership summaries.

  • Create and maintain procedures, templates, and checklists.

  • Identify opportunities to automate administrative, reporting, audit, and compliance processes.

  • Support implementation of compliance applications and workflow improvements.

Qualifications

  • 3+ years of experience in business operations, financial administration, audit support, compliance, purchasing, or a related field.

  • Strong Microsoft Excel skills, including pivot tables, lookups, filtering, and reconciliation worksheets.

  • Excellent organization, attention to detail, and follow-through.

  • Ability to manage multiple priorities and meet deadlines independently.

  • Strong written communication and documentation skills.

  • Experience collaborating with technical teams, business stakeholders, vendors, and auditors.

  • Ability to handle sensitive financial, employee, vendor, and compliance information.

  • Strong technical aptitude and interest in automation, reporting, and process improvement.

Nice To Haves

  • Experience supporting IT, Finance, Compliance, Audit, Procurement, HR, Payroll, or Operations functions.

  • Experience with Jira, Microsoft 365, SharePoint, Teams, ERP, accounting, procurement, or workflow management systems.

  • Experience coordinating audit evidence across multiple departments.

  • Experience with application administration, dashboards, workflows, or process automation.

  • Familiarity with software licensing, contracts, renewals, vendor management, and compliance reporting.

  • Comfort learning new systems, improving processes, identifying discrepancies, and using technology to streamline manual work (deep technical expertise not required).
