Junior Events Project Coordinator
Responsibilities
- Coordinate event and project arrangements by liaising with clients, vendors, and suppliers to ensure timely and accurate execution
- Follow up on project schedules, quotations, approvals, and requirements to maintain progress and meet deadlines
- Prepare quotations, proposals, and simple presentations to support project planning and client communications
- Provide regular project updates and respond to client enquiries to maintain clear communication
- Coordinate vendor participation and placements for events, ensuring alignment with project goals
- Support enquiries and coordination specifically for event lighting projects to facilitate smooth operations
- Attend site visits, meetings, and project planning sessions to assist with on-site execution and team collaboration
- Assist with event setups, festive lighting installations, and other on-site project activities to ensure successful delivery
- Maintain accurate project schedules, invoices, documents, and records for effective project tracking
- Collaborate closely with operations and project teams to ensure projects are completed smoothly and efficiently
Preferred competencies and qualifications
- Diploma in any discipline
- Proficient in Microsoft Word, PowerPoint, and basic spreadsheets to prepare project documents
- Basic knowledge of Canva and Google Workspace to support presentation and coordination tasks
- Comfortable communicating with clients, vendors, and suppliers to build professional relationships
- Willingness to travel to project sites around Singapore approximately 2–3 times per week to support on-site activities
- Own transport is an advantage but not required
- Fresh graduates are welcome; attitude, reliability, communication skills, and eagerness to learn are highly valued
Other Information
- Salary: $2,500 – $3,000 per month plus commission/performance incentives for successful vendor placements and event lighting projects
- Working Hours: Monday to Friday, 9:00am – 6:00pm, with occasional extended or adjusted hours during event setups or festive periods; time-off-in-lieu provided for additional hours worked
- Location: Defu South Street 1, Singapore; office-based with regular site visits
Training and guidance provided by experienced team members Hands-on exposure to event planning, coordination, and on-site operations including pasar malam, food fairs, and festive lighting projects.
