Junior HR Specialist
Summary
Junior HR Specialist handles employee queries, onboarding/offboarding, and HR administration via ticketing systems while ensuring compliance and data accuracy.
We are seeking a Junior HR Specialist to serve as the first point of contact for employee queries and HR processes managed through ticketing systems, ensuring timely, accurate and compliant service delivery aligned with performance standards.
Responsibilities
- Deliver operational support across various HR processes including Onboarding, Offboarding, Benefits and HR Administration
- Resolve employee requests via ticketing system within agreed timelines
- Maintain and update employee data in HR systems with high accuracy and full compliance
- Support HR documentation and ensure alignment with legal requirements and internal policies
- Collaborate with cross-location HR teams for consistent service delivery
- Contribute to continuous improvement of processes, runbooks and Shared Services workflows
- Handle sensitive employee data with strict confidentiality and low tolerance for errors
- Serve as the primary point of expertise for onboarding, probation and offboarding processes
- Provide process guidance and consultation to managers and employees throughout key employee lifecycle events
- Manage complex cases and escalations requiring interpretation of policies, procedures and process requirements
- Drive consistency, compliance and continuous improvement across employee lifecycle processes
Requirements
- 1+ years of experience in HR administration or a shared services environment
- Proficiency in English (B1+) for written and spoken communication together with familiarity with Polish, Spanish or Portuguese as an advantage
- Capability to manage multiple employee queries simultaneously while maintaining quality and meeting performance standards
- High precision in data-sensitive tasks such as employee records, certificates and documentation
- Flexibility to adapt to multi-country HR processes and evolving regulatory requirements
- Proactive, discreet and trusted approach to handling confidential information
- Experience in cross-functional or cross-location collaboration within a volume-based KPI environment
Nice to have
- Background in an HR Shared Services environment
- Working knowledge of Polish, Spanish or Portuguese
- Familiarity with ServiceNow or similar ITSM/HR ticketing systems
