  • Open to working in a boutique and lean office set-up (of around 15 staff)

Our client is a renowned investment firm based in town. The co allows for 1-day WFH per week.

The firm is seeking a highly organized, detail-oriented and discreet individual to provide seamless executive support within the Global Chairman's Office. Working closely with and under the direction of the Senior Executive Assistant to the Chairman, you will play a key role in ensuring the smoothday-to-day operations of the office — managing schedules, communications, travel logistics, and confidential matters with professionalism and precision.

Key Responsibilities:

  • Support the Senior Executive Assistant in managing the Chairman’s calendar, coordinating meetings, and scheduling appointments across multiple time zones.
  • Draft, format, and proofread correspondence, reports and presentations as directed by the Senior Executive Assistant.
  • Provide comprehensive administrative support including document management and the maintenance of efficient physical and digital filing systems.
  • Handle all matters relating to the Chairman and his family with strict confidentiality and professional discretion.
  • Assist in arranging comprehensive travel for the Chairman and his family, including flights, accommodation, visa applications, ground transport, and detailed itineraries.
  • Coordinate travel schedules and logistics for staff and guests as required.
  • Process expense claims and reimbursements in a timely and accurate manner.
  • Act as backup to the Receptionist during periods of leave, absence, or high traffic.
  • Undertake any other duties as assigned by the Senior Executive Assistant or senior management from time to time.

Job Requirements:

  • Diploma or Bachelor’s degree in Business Administration, Communications, Hospitality Management or a related discipline is preferred.
  • Minimum 4 years of experience in a secretarial, administrative, or executive support role, guest relations, or similar customer-facing role.
  • Experience drafting emails for management and doing extensive calendar management (across countries/ time zones) is required for this role
  • Experience supporting senior executive, high-profile individuals, or ultra-high-net-worth (UHNW) clients will be advantageous, but this is not a must
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and document management systems.
  • Standby and overtime may be required based on business and operational needs.
  • Excellent written and verbal communication skills.
  • Strong organisational and time management skills, with the ability to multi-task and prioritise effectively in a fast-paced environment
  • High level of accuracy in work, particularly in correspondence and document preparation
  • Proven ability to handle confidential information with integrity and professionalism
  • Able to work independently with minimal supervision, anticipate needs, and adapt to changing priorities and deadlines.
  • Open to working outside normal hours when required
  • Proactive with a positive attitude
