Lead Medical Support Assistant

The Lead Medical Support Assistant serves in the VA Care in the Community (CITC) Department at the Nebraska-Western Iowa Healthcare System, Omaha, Nebraska. The Lead MSA provides expertise, guidance and direction and has responsibilities related to providing administrative support, coordination, and technical assistance in the planning, development, and maintenance of an effective, comprehensive and integrated Community Care Program at this Medical Center.

The incumbent is skilled in project management, time management and process improvement, which includes the ability to develop new or improved solutions to complex technical problems. They work closely with all of Community Care's leadership and/or designee to ensure standardized practices are being followed. They are responsible for the assigned workload within the section and assistance with coverage for employee work schedules. The incumbent monitors the progress of work and makes adjustments on a priority basis to ensure timeliness measures are met. The incumbent reports to the supervisor on employee performance, process errors, training needs, and disciplinary issues. Major duties include (but not limited to): Managing consult services assigned per guidelines Participating in team huddles and team meetings to manage and plan patient care. Setting priorities and deadlines, adjusting the flow and sequencing of the work to meet team and patient needs. Create authorizations for episodes of care prior to care being received. Schedule appointments, per the scheduling policy, accurately and in a timely manner. Participating in and providing input in problem solving on operational issues or procedures in team meetings. Performing administrative follow up actions. Independently following up on team huddles by sharing information and collaborating with the medical team to assure continuity of care. Collaborate, communicate, set priorities, and organize the work of the unit in order to meet deadlines, ensuring compliance with established processes, policies, directives, and regulations. Utilize advanced knowledge of the technical health care process as it relates to access to care. Have knowledge to manage the assigned segment of the clinic, to include independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems with a complex systems environment. Use advanced knowledge of policies and procedures associated with operational activities that affect the patient flow, patient care, and the revenue process. Apply advanced knowledge of medical terminology to understand, explain and apply technical language utilized by clinicians. Serves as a technical advisor and liaison for various program applications. Manage and respond to incoming electronic patient messages. Assists with contact modalities outreach for veterans. Assists with training of new hires. Responsible for maintaining the confidentiality of information obtained to carry out required duties. Special Duties as assigned.
