Lead Transportation Assistant

This position is located in the Veteran Transportation Service at VA St. Louis Health Care System - John J. Cochran Veterans Hospital in St. Louis, MO. The Lead Transportation Assistant acts as primary contact to Veterans for transportation needs. The three major areas of responsibility are: (1) scheduling, data collection, & tracking support; (2) consult management responsibilities; (3) program support responsibilities.

***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** Major duties and responsibilities include but not limited to: Leader Duties Distributing and balancing daily workload among employees according to workflow, specialization, priorities, and available resources to ensure timely completion Estimating completion times, maintaining work accomplishment records, tracking time expended, and preparing production and workload reports for supervisory review Instructing and training employees in tasks, techniques, procedures, policies, and directives while providing guidance, references, and on-the-job training Reviewing completed and ongoing work to ensure established procedures, quality standards, methods, and deadlines are consistently met Monitoring working conditions, employee concerns, leave requests, safety issues, and informal complaints, resolving routine matters and referring significant concerns appropriately Reporting employee performance, training needs, conduct concerns, recognition, reassignment, promotions, and personnel requirements while obtaining supervisory guidance on operational issues Scheduling, Data Collection & Tracking Support Coordinating consult management, appointment scheduling, and admissions scheduling while collecting and tracking workload and statistical information supporting VTS operations Evaluating documents, forms, applications, and reports for completeness, accuracy, omissions, and inconsistencies while ensuring information is accurately entered Aggregating and analyzing data from multiple sources, including DSS extracts, to verify workload and identify discrepancies, trends, and performance measures Maintaining automated tracking systems to monitor workload, milestones, progress reports, trends, performance measures, compliance strategies, and program requirements Coordinating with EMS, VTN, DAV, VFW, and other transportation providers to exchange information and support effective Veteran transportation services Performance Measures Support Coordinating service practices designed to reduce patient waits and delays while improving timely delivery of consultation and transportation-related services Planning and monitoring consult workflows to ensure internal consultations are processed appropriately and completed within established procedures and timeframes Utilizing VISTA, CPRS, and SharePoint systems to process, monitor, and track internal consultations and related patient service requirements Administering quality monitors for internal consultation processes to measure effectiveness, identify deficiencies, and support staff education and continuous improvement Coordination, Program Planning & Advisory Services Planning and organizing daily VTS operations, coordinating program flow, workload requirements, support functions, resources, vehicles, equipment, and space Coordinating program support involving systems management, operations, workload forecasting, data review, reporting, vehicle maintenance, and other specialized VTS functions Reviewing and validating VTS workload, including outpatient visits and surgical admissions, ensuring accurate daily workload capture, reporting, and required notifications Providing technical and management guidance for electronic records, driver scheduling, space utilization, vehicle support, and related operational services Advising supervisors and operating managers on VTS requirements, resource implications, workload trends, performance results, and service capabilities supporting organizational objectives Work Schedule: Monday to Friday; 07:30 a.m. to 04:00 p.m. Recruitment & Relocation Incentives: Not authorized Critical Skills Incentive (CSI): Not Approved
