Lease & Contract Administrator

This role supports store expansion by managing the lease and contract process from agreed terms to signed documents, working between the Retail Expansion Team, landlords, contractors, notaries, and the legal team.

Key responsibilities:

• Acting as the main contact between landlords/property owners and the legal team in Singapore on lease terms.

• Preparing lease agreement and LOO drafts for new store locations based on the commercial terms agreed by the Retail Expansion Team.

• Coordinating with notaries when needed: preparing complete documents, scheduling signing appointments, and attending or following up on the signing process.

• Tracking legal review and approval status for every store, chasing approvals, and arranging signing.

• Maintaining the contract register for lease and contractor contracts (dates, rates, retention terms, renewals).

• Owning the standard contractor contract template, including version control and routing change requests to legal.

• Keeping all signed and notarized documents in one organized and easily accessible file.

• Identifying deviations from standard terms and escalating them to Channel Development and the legal team.

• Sharing contract information (payment terms, due dates) with the Payment Admin and the Fit-out team.

• Reporting contract status per store regularly and keeping the store tracker updated.

Requirement:

• Minimum 1 year of experience in contract administration, legal administration, property/leasing, or a similar field.

• Experience or knowledge in signing agreements involving a notary.

• Able to read and prepare lease agreements in Bahasa Indonesia.

• Able to communicate in English (written and spoken) with the legal team in Singapore.

• Detail-oriented, well organized, and consistent in following up.

• Comfortable using Excel/Google Sheets and Google Workspace.

• Able to handle many stores at different stages at the same time.

• Experience in retail or property is a plus.

• Willing to visit landlords or notary offices when needed for signing.
