Are you an experienced Legal Assistant who enjoys working in a fast-paced environment and is genuinely interested in technology, AI and innovation?

An exciting opportunity has become available for an experienced Legal Assistant to join the Digital team of a leading global law firm in Melbourne. This is a unique opportunity to become the first dedicated Legal Assistant supporting the team, working closely with a senior Partner and other members of a busy and forward-thinking Digital practice.

This role would suit someone who enjoys being more than just traditional legal support. You'll take ownership of day-to-day coordination, provide trusted support to senior stakeholders and play an important role in helping the team embrace new technology and ways of working.

With the role evolving towards a more EA-style support function, you'll need to be comfortable working autonomously, managing changing priorities and supporting senior stakeholders who operate across different time zones.

The Role |

Working closely with the Partner and senior members of the Digital team, you'll provide a combination of traditional legal support and high-level executive assistance.

Your responsibilities will include:

  • Providing proactive day-to-day support to a senior Partner, with the opportunity to assist other senior members of the Digital team as required
  • Managing complex calendars, appointments and competing priorities, including coordinating across different time zones
  • Taking ownership of meeting coordination and ensuring changes, follow-ups and actions are appropriately managed
  • Organising domestic and international travel from end to end, including detailed itineraries, expense reconciliation and travel blocking
  • Preparing, formatting and maintaining legal documents and correspondence using Microsoft Office and iManage
  • Assisting with the opening, maintenance and closure of matters, ensuring information and records are kept accurately
  • Supporting billing, time recording, invoicing and matter administration requirements
  • Keeping track of verbal and written instructions, deadlines and outstanding actions to ensure priorities are followed through
  • Acting as a trusted point of contact for clients and internal stakeholders, helping to maintain strong professional relationships
  • Embracing new technology and AI tools, including assisting with the rollout, adoption and implementation of new digital solutions

About You |

  • Previous experience in a Legal Assistant or senior legal support role within a law firm or professional services environment
  • Experience supporting a Partner, senior executive or multiple senior stakeholders will be highly regarded
  • Strong organisational skills with the ability to manage multiple priorities and keep track of where matters are up to
  • Comfortable working with stakeholders across different time zones and adapting your working approach when required
  • Exposure to billing, invoicing, time recording and reporting
