Legal & Compliance Executive
About the role
The Legal & Compliance Executive provides operational and administrative support across the Legal, Compliance & Risk (LCR) function. The role owns the recurring processes that keep the function running: contract administration, corporate secretarial coordination, compliance record-keeping, matter tracking, APAC reporting coordination, and vendor administration. The role works closely with business stakeholders across the company and with external providers and is a key point of contact for intake into the LCR function.
Key responsibilities
Administer the central contract register and repository based on business unit submissions under the Contract Management & Workflow Policy, performing completeness checks and escalating gaps
Ensure executed copies are filed and key dates (expiries, renewals, notice periods) are tracked and flagged in advance to the responsible business unit and the LCR team
Follow up with counterparties and internal contract owners to keep contract turnaround on track
Coordinate corporate secretarial matters for the Singapore entities, including liaising with the external corporate secretarial provider on deliverables, timelines, and fees
Maintain statutory records support materials, director and shareholder information tables, and delegation of authority records
Circulate board and shareholder resolutions for execution and track completion
Support AML/CFT processes, including running counterparty and beneficial ownership screenings, filing results, and maintaining screening logs
Support regulatory filings and correspondence, including collating annexes and supporting documents and tracking submission deadlines
Maintain compliance registers, including gifts and entertainment, conflicts of interest, and training records
Coordinate with business stakeholders across departments to collect data and documents required for legal, compliance, risk and ESG workstreams
About you
Diploma in law, business administration, or a related field
At least 5 years of experience in a legal administration, paralegal, corporate secretarial, or compliance support role, ideally in-house or in professional services
Strong organisational skills and attention to detail, with a track record of managing registers, deadlines, and multi-party follow-ups
Strong executive functional skills
High degree of discretion and ability to handle confidential and sensitive information
Confident communicator able to coordinate and follow up with stakeholders across departments
Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook); familiarity with e-signature platforms and contract or matter management tools an advantage
