The Role

In this position, you will provide comprehensive secretarial and administrative support to a dedicated team of fee earners across active legal matters.

• Producing and accurately proofreading complex legal documentation, witness statements, and formal correspondence via digital audio transcription.

• Managing solicitors' electronic diaries, scheduling client consultations, arranging conferences with counsel, and booking internal meeting facilities.

• Serving as an approachable and professional first point of contact for clients, handling incoming telephone calls, and managing general enquiries efficiently.

• Preparing, paginating, and indexing comprehensive trial bundles, exhibit folders, and formal paperwork for court hearings.

• Submitting electronic applications and official filings via relevant government and court systems, including HMCTS portals.

• Maintaining organised electronic and physical matter files in strict accordance with Solicitors Regulation Authority standards and internal compliance policies.

• Assisting fee earners with monthly billing processes, drafting client invoices, recording disbursements, and liaising directly with the accounts department.

• Monitoring critical court deadlines, statutory limitation dates, and client appointments to ensure smooth matter progression and prompt service delivery.

About You

• Proven practical experience working as a legal secretary or legal assistant within a professional law firm environment.

• Fast, precise audio typing and copy typing capabilities, supported by outstanding English grammar, spelling, and meticulous proofreading skills.

• Solid understanding of legal terminology, standard legal document formats, and professional correspondence protocols across diverse practice areas.

• High level of proficiency using digital case management software, document management systems, and standard office applications.

• Strong interpersonal and communication abilities, enabling you to converse with clients, court staff, and external professionals with empathy and tact.

• Exceptional organisational skills with a structured approach to workload management and the resilience to balance competing priorities under pressure.

• Absolute discretion and a deep appreciation of client confidentiality, data protection regulations, and professional legal privilege.

A Typical Day

Your working day begins by reviewing the solicitors' diaries, prioritising incoming correspondence, and transcribing urgent audio dictation for pending transactions. Throughout the morning, you might welcome visiting clients to the office, liaise with barristers' clerks to confirm hearing dates, or collate a trial bundle alongside a fee earner. In the afternoon, you may update matter records on the practice management system, submit electronic court forms, and work alongside the finance team on draft billing, ensuring your colleagues are thoroughly prepared for the following day's schedule.
