THE OPPORTUNITY
Weintraub Tobin is seeking a full-time (40 hours per week), experienced transactional Legal Secretary to join the Corporate Practice Group in our Sacramento office. The ideal candidate is highly organized, detail-oriented, dependable, and able to manage multiple priorities in a fast-paced legal environment while delivering high-quality work and exceptional client service. This is a high-trust role requiring sound judgment, professionalism, discretion, and the ability to support senior attorneys and partners effectively.
A hybrid arrangement may be available after 90 days, with four (4) days in the office and one (1) day remote.
RESPONSIBILITIES
- Provide high-level secretarial support to a team of corporate attorneys, including the Firm’s President
- Monitor deadlines, prioritize assignments, and proactively anticipate attorney needs to ensure timely and efficient completion of work
- Represent attorneys professionally by communicating with clients and other contacts, obtaining and conveying information, following up on delegated assignments, and exercising sound judgment regarding matters requiring attorney attention
- Assist with corporate transactions and due diligence, including organizing diligence materials, tracking requests, maintaining checklists, and coordinating the circulation, execution, and return of legal documents and closing materials
- Prepare, format, proofread, and edit correspondence, legal documents, presentations, and other materials with exceptional accuracy and attention to detail
- Manage attorney calendars, meetings, conference calls, travel arrangements, correspondence, and other day-to-day administrative needs
- Prepare expense reports, enter attorney time, and review and edit pre-bills for accuracy
- Complete and submit conflict check forms and new matter requests
- Maintain accurate and organized client matter files and documents within iManage
- Answer and screen telephone calls and manage attorney email and facsimile communications, as needed
- Process incoming and outgoing mail and coordinate special delivery services in accordance with office procedures
- Photocopy, scan, assemble, and distribute documents and other materials as required
- Collaborate with attorneys, paralegals, and administrative professionals to meet deadlines, support projects, and provide cross-coverage, including assisting other legal secretaries as needed
