Summary

Manages and maintains the company's Learning Management System (LMS) including user administration, troubleshooting, course creation, and reporting. Also creates learning materials like job aids and eLearning content while supporting end-users and coordinating with internal stakeholders.

The LMS Administrator plays an important role in the organization by supporting learning and development initiatives through the administration and maintenance of the company's Learning Management System (LMS). This role is responsible for providing system administration, troubleshooting, scheduling, reporting, and end-user support. Additional responsibilities include maintaining learning content, creating job aids and supporting materials, and assisting with course administration. The ideal candidate is tech-savvy, customer-focused, and demonstrates strong written, verbal, and visual communication skills, along with a sense of urgency in resolving system and learning-related issues.
Absorb LMS System administration:
  • Advanced knowledge of Learning Management systems (LMS) administration, preferably Absorb
  • Act as a subject matter expert/owner of the company’s learning management system
  • Coordinate and communicate system requirements with Absorb support rep, admins, and course owners
  • Conduct system and course audits as needed, communicate issues and potential solutions with owners
  • Manage and maintain the user interface dashboard
  • Add, remove, manage user accounts and passwords
  • Create sessions, schedule, and coordinate calendar invites in Microsoft Outlook
Absorb Course administration:
  • Enroll and unenroll users from courses
  • Mark users complete/not complete for virtual courses
  • Create new or update current courses, curricula and course bundles in the system
  • Production of virtual courses as needed; knowledge of Zoom preferred
  • Proactive updates and communications regarding edits and adjustments to users and team
  • Update and post the Guild University Sharepoint calendar
Absorb and Guild University Inbox administration:
  • Manage and own the Guild University inbox, with a focus on rapid response to internal customer emails/ inquiries
  • Respond, update and use problem solving skills to update internal users in the system
  • Perform general troubleshooting in the system when users have issues with the courses
  • Maintain Service Level Agreement (SLA), within business hours, of 2-hours for simple requests, 24 hours for more complex requests
  • Provide timely, effective, written communications and updates, especially when issues are taking longer than originally planned
Absorb Audit System of Record administration:
  • Create and update Microsoft Forms, managing intake of all audit and course requests in collaboration with Guild partners
  • Respond with urgency to audits including pulling reports and supporting documentation, collaborating with internal partners
  • Pull, process, and deliver multiple month end reports in support of compliance completion goals and risk management follow up
Absorb Related Skill Requirements:
  • Excellent verbal and written communication skills (English); used daily when responding to complex questions, and requests
  • Proficiency in Microsoft office Suite applications; word, excel, SharePoint, powerpoint, forms
  • Advanced excel skills
  • Adobe for converting documents and making fillable PDFs.
  • SharePoint experience for updating links, posting documents on team SharePoint site
  • Highly organized, detail oriented and able to work in a fast-paced environment
  • Ability to create job aids, guides, and graphics in support of the Absorb learning center preferred
  • Take written content and create PowToon’s videos for identified topics
  • Ability to organize and manage multiple priorities in a fast-paced environment.
  • Strong analytical and critical thinking skills.
  • High level of accuracy and attention to detail, including data entry.
  • Ability to work independently while collaborating effectively within a team.
  • Excellent interpersonal and customer service skills.
  • Ability to handle confidential information with professionalism and discretion.
  • Advanced proficiency in Microsoft Excel and Microsoft Office applications.
  • Experience with Adobe Creative Suite and SharePoint is preferred.
  • Strong problem-solving and troubleshooting abilities.
  • Excellent written and verbal communication skills in English.
