Job Summary:
We are seeking a detail-oriented and organized Logistics Admin Executive to join our engineering team. In this role, you will play a crucial part in ensuring the smooth administrative execution of our logistics operations. You will be primarily responsible for managing shipping documentation, coordinating contract paperwork, and liaising extensively with Third-Party Logistics (3PL)providers to bridge the gap between our engineering projects and supply chain logistics.
Key Responsibilities
- 3PL & Vendor Coordination: Serve as the primary point of contact for Third-Party Logistics (3PL) providers, freight forwarders, and carriers. Coordinate bookings, track shipments, and ensure service level agreements (SLAs) are met.
- Documentation Management: Prepare, verify, and manage all logistics and shipping documentation (e.g., Bills of Lading, packing lists, commercial invoices, customs declarations, and delivery orders) required for 3PL processing.
- Contract & Paperwork Administration: Handle, organize, and track contract paperwork, rate sheets, purchase orders (POs), and service agreements related to 3PL vendors and suppliers.
- Logistics Coordination: Act as the internal liaison between the engineering, procurement, and warehouse teams to align project timelines with 3PL delivery schedules.
- Performance Monitoring: Verify 3PL invoices against agreed rates, flag discrepancies, and assist in monitoring vendor performance (e.g., on-time delivery rates).
- Data Entry & Reporting: Accurately update internal ERP/logistics systems with shipment statuses provided by 3PL partners and maintain systematic physical and digital filing systems.
Requirements& Qualifications
- At least 1 to 3 years of hands-on experience in logistics administration, shipping documentation, or a similar role. Direct experience working with or managing 3PL providers will be a plus! Experience within the engineering or manufacturing sector is highly preferred.
- Diploma or Degree in Business Administration, Logistics, Supply Chain Management, or a related discipline.
- Strong proficiency in MS Office (especially Excel for tracking and data analysis).
- Familiarity with ERP software
- Excellent understanding of shipping terms (Incoterms), freight forwarding processes, and customs documentation.
- Exceptional attention to detail and strong organizational skills.
- Strong communication skills for effective 3PL and vendor collaboration.
- English & Chinese language proficiency is required as this position involves communicating with customers etc.
- Ability to multitask, prioritize, and work effectively in a fast-paced environment.
