Maintenance Manager
- Minimum high school diploma or GED; minimum of 5 years of commercial maintenance experience.
- Minimum of 3 years of leadership and managerial experience.
- Proficient computer skills, including Microsoft Office, email, spreadsheets, work-order systems, scheduling, and electronic documentation.
- Strong organizational and project-management skills with the ability to manage multiple priorities, deadlines, projects, vendors, and team assignments simultaneously.
- Experience with purchasing, inventory control, cost comparison, budgeting, and vendor management.
- Must be able to haul company trailers for use at GRM events.
- Maintain a valid Arizona driver's license and a clean driving record.
- Proficient ability to solve practical problems, make sound maintenance decisions, and use de-escalation techniques.
- Strong verbal and written communication skills, including active listening and the ability to translate complex technical information.
- Must be Christian, living a life dedicated to Christ, and be an instrument of God's love, grace, hope, and forgiveness to all.
Physical Demands:
- Some local travel to other GRM locations for business-related needs, projects, vendor coordination, inspections, or events.
- Requires frequent sitting, standing, and walking and occasional lifting, carrying, pushing, and pulling objects weighing up to 50 pounds.
- Ability to access maintenance areas, equipment rooms, rooftops, and other work areas as reasonably required to inspect or oversee maintenance work.

Responsibilities & Duties
The Maintenance Manager oversees all technical and mechanical maintenance for GRM, including repairs, preventative maintenance, equipment and system functionality, project coordination, work-order management, inventory, purchasing, vendor relationships, and technical troubleshooting. The Manager leads the Maintenance Team, establishes priorities, delegates work, monitors progress, and ensures maintenance needs are completed safely, efficiently, cost-effectively, and with appropriate documentation.
General Activities
Leadership, Planning & Work-Order Management
- Lead, supervise, schedule, and support Maintenance Technicians; establish clear daily and weekly priorities and ensure effective use of staff time and resources.
- Review the maintenance work-order system daily; assess priority and urgency, assign work, monitor progress, follow up on aging or delayed work orders, and ensure completed work is accurately documented and closed.
- Maintain organized short- and long-term maintenance priorities and communicate significant needs, delays, risks, and resource concerns to the Operations Director.
- Delegate work appropriately while maintaining accountability for completion, quality, safety, documentation, and follow-through.
- Inspect completed work when appropriate and provide coaching, direction, and ongoing training to Maintenance Technicians.
- Manage the Maintenance Department on-call rotation, ensuring appropriate coverage, escalation procedures, and response to emergency maintenance needs.
- Record and report outcomes of maintenance operations as outlined in the department playbook.
Project Management
- Manage maintenance projects from initial identification and scope development through pricing, approval, scheduling, execution, inspection, documentation, and closeout.
- Maintain an organized maintenance project tracker that includes, as appropriate, project scope, priority, responsible staff or vendor, status, estimated cost, approved cost, actual cost, next action, anticipated completion date, and identified delays or concerns.
- Coordinate multiple maintenance projects simultaneously and provide timely project-status updates to the Operations Director.
- Develop clear scopes of work for maintenance projects and ensure expectations are communicated to staff, vendors, contractors, and affected departments.
- Coordinate renovations and special projects as needed, while maintaining primary responsibility for planning, oversight, communication, and completion rather than routine hands-on execution.
Preventative Maintenance & Asset Management
- Develop, maintain, and oversee a comprehensive preventative-maintenance calendar for building systems, equipment, and recurring maintenance requirements.
- Ensure required inspections, recurring services, preventative-maintenance tasks, and follow-up repairs are scheduled, documented, and completed on time.
- Direct and oversee maintenance and repair of buildings, HVAC systems, washers, dryers, coolers, plumbing, electrical components, water systems, and other mechanical systems.
- Maintain service history, manuals, warranty information, recurring service requirements, and replacement recommendations for major equipment and building systems.
- Conduct or coordinate site and equipment inspections to identify maintenance needs before minor issues become major failures.
- Assist the Operations Director with identifying aging equipment, major repair needs, replacement priorities, and future maintenance or capital-budget considerations.
Inventory, Purchasing & Cost Control
- Maintain an organized inventory of maintenance tools, parts, equipment, and commonly used supplies.
- Establish and monitor appropriate stock levels for frequently used maintenance parts and supplies and ensure timely reordering to support department operations.
- Research and compare parts, materials, equipment, and repair options before purchasing, considering price, availability, shipping, quality, compatibility, warranty, and overall value.
- Follow current GRM purchasing and approval requirements, recognizing that authorization levels and processes may change based on organizational needs.
- Obtain and document 2-3 competitive quotes for larger repairs, purchases, or projects when practical and appropriate, and provide a recommendation based on cost, quality, timeline, warranty, and organizational need.
- Evaluate whether work can safely and effectively be completed in-house or should be outsourced based on staff skill, workload, urgency, cost, warranty considerations, and project complexity.
- Review and maintain the Maintenance Department budget and support responsible cost control and purchasing decisions.
Vendor & Contractor Management
- Serve as the primary Maintenance Department contact for outside maintenance vendors and contractors unless otherwise directed.
- Develop and maintain professional, respectful working relationships and strong rapport with vendors and contractors while holding them accountable for pricing, communication, quality, safety, timelines, and agreed-upon scopes of work.
- Gather estimates and proposals, coordinate site visits, communicate scopes of work, schedule access, monitor progress, and verify satisfactory completion before project closeout.
- Coordinate, negotiate, and oversee contracts and work performed by outside vendors for technical and skilled work beyond in-house capabilities.
- Maintain organized records of vendor contacts, estimates, proposals, service agreements, warranties, invoices, project documentation, and relevant correspondence.
- Communicate vendor schedules, service interruptions, project impacts, delays, and completion status to affected departments and leadership as appropriate.
Safety, Compliance & Technical Oversight
- Maintain occupational health and safety standards and ensure maintenance work is completed using safe work practices.
- Oversee the safety and operational readiness of GRM buildings, maintenance equipment, tools, and mechanical systems.
- Manage fire alarm systems, sprinkler inspections, safety devices, Master Meter records, and required maintenance-related documentation.
- Work with City, County, Fire, and other authorities as appropriate to support technical code compliance and required inspections.
- Maintain knowledge of applicable OSHA safety standards and environmental regulations.
- Attend safety meetings as needed and provide required maintenance-related safety training, including Gas Safety training for employees at GRM's Miracle Mile location.
- Read and interpret blueprints, schematics, equipment manuals, and technical documentation as needed.
- Perform onsite repairs when necessary to support urgent needs, staffing shortages, or work requiring the Manager's expertise.
Communication & Department Coordination
- Communicate proactively with the Operations Director regarding significant maintenance concerns, project status, budget impacts, vendor issues, equipment failures, and anticipated repair or replacement needs.
- Provide timely communication to affected departments regarding planned maintenance, outages, vendor visits, project timelines, delays, safety concerns, and completion of work.
- Coordinate maintenance activities with other GRM departments while maintaining clear separation between Maintenance responsibilities and Facilities/Custodial operations.
- Assist, schedule, and oversee volunteers for appropriate maintenance projects when needed.
Essential Experience, Skills, and Competencies
- Proven experience in maintenance management, preferably in a hotel, apartment, commercial, nonprofit, multi-building, or campus setting.
- Strong project-management and organizational skills, including the ability to plan, prioritize, track, delegate, and bring multiple projects and work orders to completion.
- Strong leadership and supervisory skills with the ability to set expectations, coach employees, follow up, and hold team members accountable.
- Strong vendor-management and relationship-building skills, including obtaining estimates, comparing proposals, communicating expectations, and addressing performance concerns professionally.
- Working knowledge of inventory management, purchasing, price comparison, budgeting, and cost-control principles.
- Technical knowledge of machines, tools, repair processes, preventative maintenance, and building maintenance procedures.
- Technical understanding of electrical, mechanical, plumbing, HVAC, and related building systems.
- Ability to read and understand blueprints, schematics, manuals, and technical documentation.
- Knowledge of OSHA safety standards and applicable safety and environmental regulations.
- Strong written and verbal communication and interpersonal abilities.
- Strong attention to detail, documentation, follow-through, and proactive problem solving.
