Maintenance Parts & Facilities Coordinator
Location: QQE Job Type: Full-Time Schedule: Monday-Friday, Day Shift Reports To: Maintenance Manager / Operations Manager
Position Summary
We are seeking a highly organized and detail-oriented Maintenance Parts & Facilities Coordinator to manage spare parts inventory, coordinate parts procurement, and support facility maintenance activities. This position plays a critical role in minimizing equipment downtime by ensuring replacement parts are properly stocked, organized, and readily available while also coordinating outside vendors and building maintenance services.
The ideal candidate will have strong organizational skills, experience working with industrial suppliers and machine tool manufacturers, and the ability to efficiently manage multiple priorities in a manufacturing environment.
Key Responsibilities
Spare Parts Management
- Inventory, identify, label, and organize existing spare parts for manufacturing equipment.
- Develop and maintain an organized spare parts storage system with accurate stock records.
- Establish and maintain minimum inventory levels for critical machine components.
- Coordinate with the tool crib to manage tooling-related spare parts and consumables.
Vendor and Supplier Coordination
- Work with industrial suppliers such as MSC, Fastenal, and similar vendors to establish and maintain consignment inventory programs.
- Coordinate vendor-provided shelving, bins, and storage systems.
- Work with machine tool OEMs and distributors, including Haas, G&M Machinery, and other equipment suppliers, to identify commonly used replacement parts and improve availability.
- Request and obtain quotations for machine replacement parts using equipment model and serial number information.
- Track, expedite, and follow up on parts orders to ensure on-time delivery.
Equipment Support
- Coordinate the repair and rebuilding of spare spindles, assemblies, and critical machine components through qualified outside vendors.
- Maintain records of repaired, rebuilt, and replacement components.
- Assist maintenance personnel in locating and sourcing necessary spare parts.
Facilities and Service Coordination
- Schedule and coordinate outside service providers for building and facility maintenance needs, including:
- HVAC service
- Plumbing repairs
- Waste disposal services
- Building repairs
- Other contracted maintenance activities
- Monitor vendor performance and ensure services are completed efficiently and on schedule.
Documentation Management
- Organize and maintain machine manuals, maintenance records, parts lists, and technical documentation.
- Manage both electronic and hard-copy documentation systems.
- Ensure documentation is current, accessible, and properly filed.
Qualifications
Required
- High school diploma or equivalent.
- Strong organizational and inventory management skills.
- Experience working in a manufacturing, maintenance, industrial, or parts-related environment.
- Ability to read equipment documentation and identify parts from manuals and exploded-view drawings.
- Proficiency with Microsoft Office applications, including Excel and Outlook.
- Excellent communication and vendor coordination skills.
Preferred
- Experience with machine tool equipment, CNC machinery, or industrial maintenance.
- Experience purchasing maintenance parts or industrial supplies.
- Familiarity with inventory control systems or CMMS software.
- Knowledge of industrial fasteners, bearings, pneumatics, hydraulics, and common maintenance consumables.
