We are seeking a highly organized and proactive professional to coordinate maintenance operations across a portfolio of Canadian properties. In this fully remote role, you will oversee repair requests, coordinate local contractors, and ensure maintenance issues are resolved efficiently and cost-effectively. You will prioritize urgent incidents, monitor project timelines and expenses, and verify that completed work meets the required standards. Working closely with concierge teams, building management, and external service providers, you will help maintain safe, functional, guest-ready properties while minimizing disruptions to guest stays. You will also contribute to preventive maintenance planning, contractor performance monitoring, and continuous operational improvement. This opportunity is ideal for someone who combines strong organizational skills, sound judgment, and cost awareness with a commitment to reliable property operations and guest satisfaction.

Accountabilities

  • Monitor and manage maintenance requests across a portfolio of properties throughout Canada, ensuring tickets are assigned, tracked, and resolved promptly.

  • Coordinate local technicians, contractors, and external service providers to arrange inspections, repairs, and maintenance activities.

  • Prioritize urgent maintenance incidents, coordinate immediate responses, and escalate critical issues when necessary.

  • Request, review, and compare contractor quotations to support cost-effective decisions and ensure repair expenses remain within budget.

  • Track maintenance costs, work progress, service-level agreements (SLAs), and completion deadlines to maintain accountability.

  • Verify completed repairs through photographs, videos, or independent confirmation when appropriate.

  • Liaise with building management teams regarding property access, keys, elevators, building regulations, and other operational requirements.

  • Develop and maintain preventive maintenance schedules to reduce unexpected breakdowns and recurring repair issues.

  • Identify repeated technical problems, investigate underlying causes, and recommend long-term corrective solutions.

  • Build and maintain a reliable database of contractors and service providers across Canadian cities, monitoring their responsiveness and performance.

  • Coordinate with the Concierge Department to manage maintenance issues that may affect guest stays, check-ins, or the overall guest experience.

  • Maintain complete and accurate maintenance records in Breezeway or the designated operational system.

  • Follow up on open, overdue, and unresolved tickets to ensure timely action and clear ownership.

  • Provide regular updates on urgent incidents, outstanding repairs, contractor performance, maintenance expenditure, and operational risks.

  • Identify opportunities to improve maintenance workflows, control costs, and ensure compliance with internal procedures and applicable property requirements.

  • Monitor key performance indicators, including urgent response time, resolution time, on-time completion rate, recurring issues, maintenance cost per apartment, and overdue tickets.

  • Requirements

    • Previous experience in property management, facilities coordination, hospitality maintenance, or a related operational role.

    • Demonstrated experience coordinating external contractors and service providers, including remotely across multiple locations.

    • Excellent written and verbal English communication skills.

    • Strong organizational, planning, prioritization, and follow-up skills, with the ability to manage multiple maintenance requests simultaneously.

    • Ability to distinguish urgent incidents from routine repairs and coordinate appropriate responses within established timelines.

    • Practical understanding of building maintenance, repair processes, contractor scheduling, and property operations.

    • Experience using task management tools, maintenance tracking systems, or property management software.

    • Strong problem-solving abilities, attention to detail, and a proactive approach to identifying and resolving operational issues.

    • Ability to review quotations, track expenses, monitor repair costs, and support financially responsible maintenance decisions.

    • Excellent record-keeping and communication skills, ensuring that maintenance activities, decisions, and outcomes are properly documented.

    • Ability to work independently, exercise sound judgment, and maintain accountability in a fully remote environment.

    • Preferred qualifications:

      • Experience with Breezeway, Hostaway, Guesty, or similar property management and operational platforms.

      • Experience coordinating maintenance across multiple properties, buildings, or cities.

      • Familiarity with building management procedures, property access requirements, contractor coordination, and preventive maintenance programs.

      • Previous experience in hospitality, short-term rentals, or furnished accommodation operations.

      • Benefits

        • Work arrangement: Fully remote position.

        • Employment type: Full-time freelance engagement.

        • Working schedule: Monday to Saturday, 8:00 AM to 5:00 PM Montreal time.

        • Professional ownership: Direct responsibility for coordinating maintenance operations across a Canadian property portfolio.

        • Operational impact: The opportunity to improve response times, contractor accountability, repair quality, and cost control.
