Manager Administration Germany
The Administration Manager Germany is responsible for the overall management of HR administration, office administration, local compliance, payroll coordination, and administrative support for the German organization. The role serves as the primary local contact for employees, managers, authorities, external service providers, and headquarters, ensuring smooth operational processes and compliance with German legal requirements.
Key Requirements Education
- Bachelor's degree in Business Administration, Human Resources, Law, Finance, or a related field
- Additional HR qualification (Personalfachkaufmann, HR Certification, Labour Law training) is an advantage
Professional Experience
- Minimum 3 years of experience in Administration, Human Resources, Office Management, or Business Operations
- Experience working in an international corporate environment
- Proven experience in German HR administration and payroll preparation
- Experience dealing with external authorities, service providers, and employment-related matters
- Experience managing budgets, invoices, contracts, and administrative processes
- Previous leadership experience with direct or indirect reports preferred
Technical Knowledge
- Knowledge of German labor law and HR administration will be considered an asset
- Experience with payroll preparation and time-tracking systems
- Understanding of compliance, GDPR, and personnel file administration
- Experience with budgeting, controlling, reporting, and expense management
- Advanced Microsoft Office skills (Excel, PowerPoint, Word, Outlook)
- Experience with HRIS and ERP systems desirable
Core Responsibilities HR Administration
- Support onboarding/offboarding activities
- Coordinate payroll preparation with external and internal stakeholders
- Maintain personnel files and support day-to-day HR administration activities
- Ensure compliance with German labor law and company policies
Office & Administrative Management
- Manage office operations across Germany
- Oversee contracts, insurance policies, company cars, and leased properties
- Coordinate procurement and office equipment management
- Manage relationships with external service providers
- Liaise with government authorities and regulatory bodies
- Support internal audits and compliance requirements
Country Management Support
- Prepare reports, analyses, presentations, and key performance indicators
- Support annual budget planning and cost control
- Assist with management meetings, sales events, and communications
- Act as key liaison between Germany and headquarters
