Job Purpose: Provide comprehensive executive support to the Chief Executive Officer by managing executive priorities, strategic stakeholder engagements, government and regulatory relationships, board and shareholder coordination, executive communications, protocol management, customer escalations, confidential matters, and special projects. The role acts as a trusted liaison between the CEO and internal and external stakeholders while ensuring efficient management of the CEO's office and protection of executive time.
Ke Result Area:
Executive Support & CEO Office Management
- Manage CEO's calendar, priorities, and strategic commitments.
- Protect executive time through effective prioritization and screening.
- Coordinate daily operational and strategic activities for the CEO.
- Ensure smooth execution of CEO directives and initiatives.
- Manage CEO email prioritization and correspondence triage.
Political, Government & High-Level VIP Engagements
- Coordinate interactions with Federal and Provincial Ministers, Members of Parliament, Government Officials, Military Leadership, Diplomats, Ambassadors, Foreign Delegations, and influential business leaders.
- Schedule and manage executive meetings and visit requests.
- Conduct stakeholder background research and briefing preparation.
- Coordinate protocol, security, logistics, and hospitality requirements.
- Ensure confidentiality of all sensitive engagements.
- Track and monitor post-meeting action items.
Government, Regulatory & Supervisory Authority Coordination
- Manage CEO engagements with State Bank, SECP, Ministry of Finance, Tax Authorities, Financial Intelligence Unit, and other regulatory bodies.
- Coordinate regulatory communications and responses.
- Monitor regulatory submissions and deadlines.
- Prepare executive briefing packs and meeting material.
- Maintain regulator engagement calendar and records.
- Escalate critical regulatory matters promptly.
Customer Escalations & Executive Walk-ins
- Manage customer matters requiring CEO attention.
- Assess urgency, reputational impact, and business implications.
- Coordinate with relevant departments for investigation and resolution.
- Prepare executive summaries and recommendations.
- Monitor resolution progress until closure.
- Executive Meetings & Stakeholder Engagements
- Coordinate Executive Committee, Leadership Team, Board Committee, and Strategic Review Meetings.
- Arrange investor meetings, conferences, networking events, client meetings, diplomatic functions, and external engagements.
- Prepare agendas, presentations, briefing notes, minutes, and action trackers.
- Manage venue arrangements, catering, travel logistics, and protocol requirements.
- Legal Notices & Confidential Correspondence
- Receive and manage legal notices addressed to the CEO.
- Coordinate with Legal and Compliance Departments.
- Track response timelines and required approvals.
- Maintain secure repositories for confidential documentation.
- Ensure adherence to document confidentiality requirements.
- Executive Protocol & Office Administration
- Maintain executive office standards and protocol.
- Coordinate visitor management and executive hospitality.
- Manage invitations, seating arrangements, executive gifts, and VIP logistics.
- Maintain stakeholder contact databases and engagement records.
- Crisis Management & Business Continuity
- Coordinate urgent executive meetings during crises.
- Support emergency communication and escalation protocols.
- Facilitate information flow between management and stakeholders during critical situations.
- Assist in business continuity and executive response activities.
- Travel Management
- Coordinate domestic and international travel arrangements.
- Manage visas, security requirements, itineraries, hotel bookings, and transportation.
- Prepare travel briefs and contingency plans.
- Special Projects
- Support strategic initiatives, executive hiring, succession planning activities, CSR and ESG engagements, and other CEO-sponsored projects.
Knowledge, Skills and Experience
- Bachelor’s degree in business administration, Management, Finance, or a related discipline.
- 8-12 years of Executive Assistant, Executive Office, Board Secretariat, Corporate Affairs, or Senior Administrative experience.
- Experience supporting C-Suite executives, preferably within the Banking or Financial Services sector.
