Job Description:

Responsible for allocation of the Region's space and overseeing all conference services. This position involves organizing employees, consultant designers, contractors, and other individuals with expert skills. Additionally, this role actively participates in delivering outstanding customer service and maintaining respectful relationships. In addition, this position works directly with leadership to develop space planning and construction/reconfiguration management strategies. Additionally, this role requires strong communication skills, problem-solving abilities, commitment to deliver results, multi-tasking, strategic planning, collaboration, and a positive attitude. The Space Planning & Conference Services Manager contributes to the realization of the goals and objectives set forth by the Region's position control.

  • Manages the department’s space management system, ensuring space validation and updating occupancy metrics.

  • Plans utilization of space consistent with regional standards and available facilities and funding.

  • Acts as the primary contact for new requests, gathering requirements and proposing potential solutions.

  • Establishes milestones and monitors adherence to project budgets and schedules.

  • Identifies problems and develops solutions such as allocation of resources or changing project scope.

  • Manages space allocation process, maintains data accuracy, and performs periodic data and drawing audits.

  • Applies knowledge to forecast space requirements based on verified existing space information, forecasted space supply/demand, and growth projections.

  • Provides metrics around current and future space needs.

  • Produces graphic charts and diagrams for visual display of quantitative and qualitative information, illustrating organizational, operational, and functional relationships that pose physical and spatial impacts.

  • Communicates recommendations through reporting and graphic presentations.

  • Leads space meetings, gathers requirements, and obtains requisite approvals.

  • Manages Space & Conference Services Team Members.

  • Performs other duties as assigned.

Knowledge, Skills, and Abilities:

  • Excellent project management skills to manage multiple projects. [Required]

  • Knowledge of facility design and construction techniques [Required]

  • Ability to read and interpret construction drawings and contracts [Required]

  • Excellent verbal, written, and organizational skills [Required]

  • Self-motivated requiring minimal management [Required]

  • Strong interpersonal skills with ability to work with and manage multi-faceted teams [Required]

  • Proficient in Microsoft Word, Excel, Outlook [Required]

  • Comfortable in making presentations to leadership and customers [Required]

  • Proficient in Microsoft Project or similar project management program [Preferred]

  • Proficient in Space Management software programs [Preferred]


Education:

  • Bachelor's [Required]


Field of Study:

  • in business, property management, project management, construction or related field.


Work Experience:

  • 5 + years’ experience in project management [Required]

  • Experience in events management, conference services or hospitality. [Preferred]

  • Extensive experience in all managing diverse teams to deliver complex solutions [Preferred]

  • Extensive experience in construction process, including all project deliverables [Preferred]


Licenses and Certifications:

  • Project Management Professional (PMP) [Preferred]
