Manager, Fleet Management System

Job Summary

Responsible for the administration, governance, configuration, and continuous improvement of PIL's Fleet Management System (MariApps). The role serves as the business owner for the system, ensuring it remains reliable, secure, fit-for-purpose, and aligned with fleet operational requirements. In addition to managing the Planned Maintenance System (PMS) module, the role oversees system governance, user access, configurations, master data, integrations, training, and vendor management

Job Responsibilities

System Governance & Administration
• Act as the business owner and subject matter expert for MariApps.
• Develop and maintain system governance standards, procedures, and user guidelines.
• Ensure access control, system configurations and workflows support business requirements.
• Drive continuous improvement and manage enhancement requests.

Planned Maintenance System (PMS) Management
• Manage the PMS module, centralised equipment and job libraries, maintenance routines, and master data.
• Review, create, and update PMS arising from equipment modifications, maker bulletins, regulatory changes, Class requirements, audit findings, incident investigations, and operational lessons learnt.
• Ensure maintenance records are accurate, standardized, and up to date across the fleet.
• Support vessel onboarding, disposal, and database setup activities.

Access Control & Data Governance
• Manage user roles, permissions, and access rights.
• Conduct periodic access reviews and ensure compliance with audit requirements.
• Maintain master data integrity and data governance standards.

Systems Integration & Support
• Manage interfaces between MariApps and related systems.
• Coordinate system upgrades, testing, issue resolution, and vendor support.
• Monitor system performance and minimise operational disruptions.

Training & Stakeholder Management
• Develop user guides and conduct training for office staff and vessel personnel.
• Provide functional support and troubleshooting assistance to vessel and shore users on PMS and Fleet Management System related issues.
• Act as the key liaison between users, ISD, and the software vendor.
• Support change management and user adoption initiatives.

Reporting & Analytics
• Develop dashboards and management reports.
• Analyse maintenance performance trends and support KPI reporting for fleet reliability and maintenance effectiveness.
• Support management decision-making through data analytics and reporting.

Job Requirements

  • Diploma, Certificate of Competency or Degree in Marine Engineering, Nautical Studies, Mechanical / Electrical / Electronic Engineering, Information Systems or equivalent;
  • >5 years of experience in Fleet Management System (MariApps) and PMS administration;
  • Seagoing experience as an engineer or equivalent technical role will be an advantage;
  • Good understanding of ISM Code requirements, Class / Flag requirements, statutory maintenance, audit readiness and vessel maintenance documentation.
  • Good understanding of vessel machinery, safety-critical equipment, maintenance regimes and technical operations;
  • Strong knowledge of PMS structure, equipment hierarchy, job planning, running-hour / calendar-based maintenance, defect follow-up and history records;
  • Ability to manage PMS and MariApps / Fleet Management System master data, configurations, role-based access controls, workflows, reporting and system interfaces;
  • Competent in data analysis, root cause identification, dashboard review and management reporting;
  • Proficient in Microsoft Office / Microsoft 365, with working knowledge of databases, reporting tools or enterprise systems preferred.
