Manager of Front Office Operations (Hybrid)
Description
Manager of Front Office Operations
Position Summary
SALT Dental Partners supports more than 200 pediatric dental and orthodontic practices across 20+ states, and behind every one of them is a front office team working hard to give patients and families a great experience. This is a hybrid role based in Phoenix, Arizona, combining in-office and work-from-home days, with travel of approximately 30-40% to practice locations and company events. Reporting to the Director of Application Management, the Manager of Front Office Operations will mentor and grow a team of three to five subject matter experts (SMEs) who champion front office best practices in our unified practice management system (PMS) environment: Denticon for pediatric dental and Cloud 9 for orthodontics.
This role is about making the front office easier and more consistent for the people who run it. You’ll build a clear, standardized way for practice managers and front office staff to welcome and process both pediatric dental and orthodontic patients, then equip your SMEs to teach it with confidence. By shaping how our teams use Denticon and Cloud 9 from practice to practice, you’ll help them handle scheduling, check-in, eligibility verification, and time of service collections smoothly. That strong foundation sets up our revenue cycle teams to do their best work, and it frees our practice teams to focus on what matters most: the patients and families they serve.
Key Responsibilities
Team Leadership & SME Development
- Lead, coach, and develop a team of three to five SMEs covering both Denticon (pediatric dental) and Cloud 9 (orthodontics), with clear goals, regular one-on-ones, and cross-coverage between domains.
- Train SMEs on the standardized processes for their domain so they can teach, coach, and troubleshoot with one consistent voice.
Process Standardization
- Define, document, and maintain standardized front office processes for each domain, covering scheduling, check-in and check-out, patient intake, eligibility verification, payment posting, and time of service collections.
- Align pediatric dental and orthodontic workflows into one uniform method, while respecting real differences such as orthodontic contracts and payment plans versus recall-driven pediatric visits.
- Maintain a central library of SOPs, job aids, and quick reference guides, and manage updates as standards change.
Training & Field Enablement
- Oversee training for practice managers and front office staff, including new hire onboarding and ongoing skill reinforcement, focused on front office workflows in Denticon and Cloud 9 rather than general system navigation.
- Direct SME-led virtual and in-practice coaching, using observation and performance data to support the practices that need it most.
Quality, Performance & Partnership
- Track whether the standard is being followed and whether training is working, using measures such as process adherence, training proficiency, scheduling errors, eligibility verification completion, and time of service collections.
- Partner with Application Management, IT, Operations, and Revenue Cycle Management so system configuration and front office standards reinforce one another, and report progress to the Director of Application Management.
Qualifications
- 5+ years of experience in dental practice operations, patient access, or practice management systems support, including 2+ years leading a team; multi-site or DSO experience strongly preferred.
- Hands-on proficiency in Denticon and/or Cloud 9, including scheduling, eligibility verification, ledger and payment posting, and reporting; experience with both is strongly preferred.
- Working knowledge of pediatric dental and orthodontic front office workflows, including insurance verification and time of service collections.
- Demonstrated experience creating standardized processes and training programs across multiple locations, and driving adoption with practice-level staff.
- Strong communication and analytical skills, with the ability to turn complex system workflows into clear documentation and use data to measure impact.
- This is a hybrid position based in Phoenix, Arizona, with a combination of in-office and work-from-home days. Individuals must be willing to travel approximately 30-40% of the time to practice locations and company events as needed.
