In support of PPCWNY’s mission, the Manager of Outreach and Education provides leadership and coordination of one or more of the organization’s education and outreach programs: community/adolescent education (e.g., In Control), rape crisis (e.g., RESTORE), and special prevention programs (e.g., Free Access/Family Planning Extension Program), and other community education-based programs offered across an eighteen-county region or within a specific geographical area. This position also leads a team of educators and trainers to conduct programming advancing sex education, youth development, public outreach and improving access to healthcare services in areas where barriers to access exist. These functions are performed with the collaboration of many community partners and schools.


Essential Functions

Planning and Budgeting

  • In collaboration with the Director of Finance, prepares the program budget and analyzes the expenses compared to budget; makes projections for quarterly updates; prepares complete and timely internal and external reports as scheduled (monthly, quarterly and annually) to funders and/or regulators regarding the programs that his/her team manages
  • Works with the finance team to problem solve financial management issues (grant preparation, modification, reconciliation, and reporting to grantors, etc.)
  • Plans, implements, and evaluates education and outreach programs and works in collaboration with the staff to devise the work plan and monitor the budget for each funded grant
  • Ensures appropriate checks and balances are in place to properly control and monitor grant funding and expenditures
  • Designs, implements, and evaluates specific outreach activities/programs to meet the needs of a diverse population and/or geography. This activity includes identification of opportunities where Planned Parenthood programs/services could be marketed (fairs, health fairs, college events, concerts, etc.)
  • Collaborates with the entire Strategic Programs team on the development and/or revision of grant applications (e.g., CAPP, Title X, WNY TPP, OVS, SANE, Enough is Enough, NYSCASA)

Functional Oversight

  • Accountable for the development and maintenance of all educational materials used by direct reports to ensure quality (accuracy), consistency, and compliance

Team Management

  • Leads a team of educators and trainers to conduct programming advancing sex education, youth development, public outreach and improving access to healthcare services in areas where barriers to access exist.
  • Works in collaboration with a representative from Human Resources in the screening, selection and training of team members who cover all eighteen counties
  • Creates/maintains a safe and welcoming environment where all team members are challenged, recognized and supported
  • Provides oversight, direction, and development for the professionals who directly work in their Education and Outreach area
  • Offers mentoring and guidance to team members on problem solving techniques related to program development, client issues and volunteer coordination.
  • Supervises and writes annual performance evaluations for team members. Provides ongoing coaching to all direct staff
  • Shows respect to all internal and external customers for differences in backgrounds, lifestyles, viewpoints and needs in areas such as race, gender, ethnicity, creed, sexual orientation and others

Community Relations

  • Establishes solid community presence through the development of networks and linkages with community partners and stakeholders
  • Leads and/or participates in community events and serves on appropriate committees internally and externally

Other Accountability Activities

  • May participate in organization committee work, as appropriate (e.g., accreditation, Title X, CAPP)
  • May need to act as back-up for program presentations and/or education
  • In the absence of the Vice President, Programs, may serve as the spokesperson on outreach efforts and results; may represent the organization at appropriate conferences
  • Participates in affiliate initiatives: including but not limited to, New Hire Orientation, , program fundraising events, newsletters, etc.
  • Performs other duties as assigned
