PROCESS | Manager - Research Programs
Purpose
This document
outlines the end-to-end lifecycle of a Ph.D. scholar at Rishihood University,
from admission through to award and alumni engagement, defining the key steps
to be coordinated at each stage.
1. Admission & Onboarding
• Receive and verify Ph.D. admission documents.
• Complete scholar registration and ERP entry.
• Coordinate allocation of
supervisor/co-supervisor.
• Issue admission/registration letters.
• Conduct Ph.D. orientation and induction.
• Ensure scholar's academic and administrative
records are created.
2. Coursework Management
• Register scholars for prescribed coursework.
• Coordinate course registration and attendance
records.
• Track coursework examinations and results.
• Ensure minimum credit/course requirements are
fulfilled.
• Maintain coursework completion records.
3. Research Proposal &
Progress Management
• Coordinate research proposal submission.
• Schedule and document Research Advisory
Committee (RAC) meetings.
• Maintain scholar-wise research progress
records.
• Track periodic progress reports.
• Monitor completion of milestones within
prescribed timelines.
• Send reminders for pending
submissions/requirements.
4. Research Registration &
Compliance
• Maintain research topic/title records.
• Process changes in research title/supervisor,
where applicable.
• Track ethical clearance, plagiarism checks and
other research compliances.
• Maintain publication/conference/research
activity records as required.
• Ensure compliance with Ph.D. regulations and
university ordinances.
5. Semester/Annual Continuation
• Facilitate semester/annual registration of
scholars.
• Track fees, registration status and academic
requirements.
• Maintain active, inactive, leave, extension
and withdrawal status.
• Generate scholar-wise pending/compliance
reports.
6. Thesis Submission
• Receive and scrutinize thesis submission
documents.
• Verify completion of coursework and other
requirements.
• Coordinate plagiarism/similarity verification.
• Obtain supervisor/RAC recommendations.
• Process thesis submission approval.
• Maintain the complete pre-submission record.
7. Evaluation & Viva-Voce
• Coordinate appointment/approval of examiners.
• Maintain examiner communication and
confidentiality.
• Coordinate thesis evaluation reports.
• Track receipt of reports.
• Organize viva-voce and maintain proceedings.
• Process corrections/revisions recommended by
examiners.
8. Award of Ph.D.
• Verify fulfilment of all Ph.D. requirements.
• Prepare case for competent authority/Academic
Council approval.
• Process provisional certificate and final
Ph.D. degree.
• Update scholar status from Active →
Awarded/Completed.
• Ensure all records are closed and archived.
9. Post-Award & Alumni
Record
• Maintain final thesis and scholar records.
• Ensure thesis repository/record submission as
applicable.
• Maintain contact and employment/academic
progression information where required.
• Issue transcripts, certificates or
verification letters when requested.
• Support Ph.D. alumni engagement and data
management.
