Marine Assistant
Summary
Assists with maritime documentation, compliance tracking, and vessel operations coordination, including port clearance and regulatory reporting.
Description:
- Maintain and organize departmental records, correspondence, and voyage documentation.
- Distribute and monitor Notices to Mariners, circulars, and operational advisories.
- Review, verify, and process invoices related to vessel operations and departmental services.
- Manage and maintain both electronic and hardcopy maritime reference materials.
- Update and administer vessel information within HVPQ, Q88, and other vetting platforms.
- Track and maintain compliance records for IMO, SOLAS, MARPOL, company Drug & Alcohol (D&A) policies, and other regulatory requirements.
- Coordinate Ship-to-Ship (STS) transfer activities, including logistics and personnel arrangements.
- Support the monitoring of vessel compliance with Health, Safety, Quality, and environmental standards.
- Maintain records of vessel incidents, casualties, operational performance, and key performance indicators (KPIs).
- Coordinate vessel inspections conducted by Oil Majors, terminals, and internal stakeholders.
- Arrange travel and logistical support for Marine department personnel.
Requirements:
- Prior experience in vessel port clearance, tanker operations, offshore marine activities, or related maritime operations is preferred.
- Knowledge of MPA port clearance procedures, Marinet, ICA Portals, and relevant maritime regulations.
- Willingness to board vessels whenever operationally required.
- Strong communication and coordination skills with the ability to work effectively with internal and external stakeholders.
