Marine Assistant Executive

Summary

Manages maritime documentation, compliance tracking, and logistics for vessel operations, including port clearances, inspections, and safety records.

Job Description:

· Archive department documents, emails, andvoyage records.

· Dispatch and track Notices to Mariners andcirculars.

· Verify and process vessel and departmentservice invoices.

· Manage the digital and physical maritimereference library.

· Maintain and update HVPQ and Q88 vettingsystems.

· Monitor and keep records for enforcements ofIMO, SOLAS, MARPOL, and company D&A policies.

· Coordinate Ship-to-Ship (STS) transfer logistics and staff visits.

· Monitor vessel compliance with Health, Safety, and Quality procedures.

· Record vessel casualties, operational incidents, and performance KPIs.

· Coordinate Oil Major, terminal, and internal vessel inspections.

· Assist in arranging the travels of department staffs.

Job Requirements:

· Preferably experienced in inward/outward port clearance for vessels, tanker operations and offshore marine work

· Familiarity with MPA/Port Clearance, Marinet and ICA Portals and other regulations

· To board vessel as and when required

· Effective communication skills
