Marine Operations & Technical Support Executive

Job Description

We are seeking a motivated fresh graduate to join our Marine Division as a Marine Operations & Technical Support Executive.
The successful candidate will provide operational, documentation and administrative support for marine survey and technical consultancy assignments. The position will also support communication and coordination between the Singapore office, the Group’s headquarters and regional teams in Hong Kong, Mainland China and other locations.

Job Responsibilities

  • Support the daily administration and smooth operation of the Marine Division.
  • Receive, register and follow up on marine survey and consultancy instructions.
  • Assist in coordinating assignments with surveyors, clients, vessel owners, ship managers, agents, shipyards and overseas service providers.
  • Manage and process marine service documents, vessel information, photographs, attendance records and technical supporting materials.
  • Follow up on vessel schedules, survey arrangements, project progress, outstanding documents and report submission deadlines.
  • Assist in preparing, formatting and checking marine survey reports and technical correspondence under the guidance of senior technical personnel.
  • Check survey information and supporting documents for completeness, consistency and accuracy.
  • Maintain assignment registers, surveyor schedules, quotations, expenses, invoices and report submission records.
  • Liaise with HDUM’s headquarters, overseas offices and regional teams to ensure the efficient follow-up of marine services.
  • Support communication, information exchange and operational coordination among HDUM’s teams in Singapore, Hong Kong, Mainland China and other regions.
  • Provide general administrative support and assist with basic finance, invoicing and management matters.
  • Assist in preparing quotations, service proposals, presentations, spreadsheets and other business documents.
  • Conduct basic research on vessel information, maritime regulations and relevant technical matters.
  • Support customer service, customer relationship management and business development activities.
  • Monitor outstanding reports, invoices, payments and other follow-up matters.
  • Participate in structured on-the-job training relating to marine survey coordination, technical reporting and marine consultancy services.
  • Perform other related duties assigned by the management.

Requirements

  • Diploma or degree in Maritime Studies, Shipping, Marine Engineering, Naval Architecture, Mechanical Engineering, Logistics, Business Administration or another relevant discipline.
  • Fresh graduates are welcome to apply.
  • Previous experience in marine services, shipping, administration or project coordination would be an advantage but is not required.
  • Strong interest in the marine, shipping or technical consultancy industry.
  • Good command of written and spoken English.
  • Some assignments may involve Chinese-language vessel records, survey documents or technical correspondence. The ability to understand and process such documents would be an advantage but is not mandatory.
  • Proficient in Microsoft Word, Excel, PowerPoint, Outlook and electronic document management.
  • Able to prepare and maintain accurate documents, records and spreadsheets.
  • Well-organised, responsible and attentive to detail.
  • Able to manage multiple assignments and meet deadlines.
  • Good interpersonal, communication and analytical skills.
  • Able to work independently under supervision and collaborate effectively as part of a team.
  • Willing to learn marine survey procedures, technical documentation and maritime industry requirements.
