What we’re looking for
We are looking for a self-motivated and detail-oriented Maritime Sales Support Administrator to provide administrative support across the Commercial business stream. In this role, you will help deliver a consistent and positive client experience by supporting Maritime Sales colleagues with a wide range of sales administration, customer support, finance-related activities, and operational coordination. You will play a key role in ensuring commercial processes are followed, resolving client queries, and improving the efficiency of business operations.

Fixed-term Contract for 1 year
The role
- Provide administrative support to the Maritime Commercial business stream, ensuring adherence to commercial processes and procedures.
- Support Maritime Sales colleagues by managing administrative activities, enabling them to focus on customer engagement and sales delivery.
- Coordinate and schedule meetings, workshops, executive visits, and project-related events, providing administrative and logistical support as required.
- Organize logistics for internal and external events and collaborate with the Marketing team to support LR and industry events.
- Liaise with Executive Assistants and the Executive Leadership Team to coordinate executive engagements and visits.
- Monitor tender opportunities and maintain registrations on client portals, working closely with Commercial Operations, Bid & Contracts teams, and commercial colleagues to ensure timely responses.
- Support finance-related activities, including invoice processing and handling post-invoice and pre-invoice client queries.
- Investigate and resolve invoice-related issues by collaborating with relevant internal teams and communicating outcomes to clients in line with established processes.
- Manage contractual setup queries, VAT and tax-related invoice requirements, and coordinate directly with clients and external tax advisors where appropriate.
- Review and assist in resolving Service Order (SVO) queries.
- Ensure documentation, records, and data are maintained accurately and processed in accordance with business requirements and agreed deadlines.
- Produce and maintain reports and management information to support operational analysis, identify process improvements, and enhance service delivery.
- Present basic reports to relevant stakeholders and recommend practical solutions where appropriate.
- Identify opportunities to improve administrative processes and support the implementation of operational improvements.
- Ensure all activities are completed in compliance with internal procedures, contractual requirements, and agreed service levels.
- Contribute to meeting KPIs, including data quality, Salesforce utilization, ByD usage, and other business performance measures.
- Work safely at all times by following health and safety procedures, reporting incidents, near misses, and any safety concerns promptly.
What you bring
- Fluent written and spoken English (and local language where applicable), with the ability to communicate effectively with internal and external stakeholders.
- Experience providing administrative support within a commercial, sales support, customer service, or business operations environment.
- Solid organizational and time management skills, with the ability to prioritize multiple tasks and meet competing deadlines.
- Customer-focused mindset with the ability to deliver a positive client experience.
- Good methodical and problem-solving skills with keen attention to detail and accuracy.
- Ability to work with minimal supervision using initiative while also collaborating effectively within a team.
- Ability to respond to changing business priorities.
- Proficiency in Microsoft Office applications.
- Experience working with CRM, ERP, or business systems such as Salesforce or ByD.
- Ability to prepare reports, maintain accurate records, and support process improvement initiatives.
Nice to have
- Experience supporting tender administration or bid management activities.
- Knowledge of invoicing processes, VAT/tax requirements, or finance administration.
- Experience coordinating events, executive visits, or stakeholder engagements.
- Previous experience working in the maritime, engineering, classification, or professional services sector.
