Marketing Administration Executive

This is a hybrid role. As a Marketing Administration Executive, you will be responsible for ensuring the smooth day-to-day running of marketing operations across France, Spain and Portugal. Acting as the backbone of the regional marketing team, you will coordinate key administrative processes, manage budgets and supplier payments, support compliance requirements, and help ensure marketing activity is delivered efficiently and in line with internal processes.

Reporting to the Head of Southwestern Europe, you will be part of the Southwestern Europe Marketing Team, who are responsible for developing and delivering local marketing strategies and campaigns across France, Spain and Portugal. The team works closely with a wide range of internal and external stakeholders to drive growth, strengthen brand presence and deliver impactful customer experiences across multiple markets. This role plays a vital part in supporting the operational effectiveness of the team and ensuring marketing activity can be executed seamlessly.

You Will:

  • Coordinate the creation, tracking and renewal of marketing contracts, ensuring the correct approval processes are followed and records are maintained accurately.
  • Raise and track purchase orders across France, Spain and Portugal, ensuring spend aligns with approved budgets and supplier requirements.
  • Process and monitor marketing invoices, working closely with suppliers, Finance and internal stakeholders to resolve queries and support timely payments.
  • Maintain budget trackers, reconciliations and reporting updates, providing marketing teams with accurate visibility of committed and actual spend.
  • Support procurement and supplier onboarding activities by coordinating required information, following up approvals and keeping stakeholders informed.
  • Coordinate marketing-related compliance information requirements across France, Spain and Portugal, ensuring information is collected, organised and submitted on time.
  • Organise and maintain marketing files, records and trackers, ensuring information is accurate, accessible and up to date.
  • Provide day-to-day operational support to the regional marketing team, including meeting coordination, supplier follow-up, document preparation and process management.
  • Build strong working relationships with Marketing, Finance, Procurement, Legal, Compliance and external partners to ensure smooth and efficient delivery of marketing operations.
