Marketing & Community Outreach Coordinator
Description
About the practice
Central Florida Rheumatology Consultants (CFRC) is the largest rheumatology care network in Central Florida, with offices in Lake Mary, Orange City, Winter Garden, and Kissimmee and an affiliated practice in Palm Harbor. Beyond specialist care, we offer on-site infusion services, an in-house pharmacy with free delivery, telehealth for established patients, and clinical research. We are growing, opening new locations, and need someone to make sure every community and every referring physician around them knows who we are.
The role
You are our on-the-ground marketing lead and the face of the practice in the community and with referring providers. You will own outreach to primary care offices, keep our website and printed materials accurate as we grow, manage the outside partners who handle design, web development, SEO, and paid advertising, and report clearly on what is working.
The goal is simple: more referred patients walking through the door at every location.
You will report to practice leadership and work closely with the office managers, IT, and the Medical Director. This is a hands-on role for someone who is as comfortable staffing a booth or walking into a physician's office as they are building a monthly results report.
What success looks like
• First 90 days: every referring office in each market has been visited, is stocked with current materials, and has a named contact at CFRC; Google Business Profiles and the website are accurate for every location; the monthly reporting view is live.
• First year: measurable growth in referred new patients at every location, with a clear line from outreach and campaign activity to results; a referral and event tracking system leadership trusts; outside vendors delivering on time and on budget.
What you'll do
Community and referral outreach
• Represent the practice at health fairs, career fairs, community events, and business functions
• Build and maintain relationships with primary care offices and other referring providers through drop-ins, lunch-and-learns, and timely referral follow-up
• Keep referring offices stocked with current rack cards, brochures, and referral instructions
• Track which events and outreach efforts actually produce referrals, and prioritize accordingly
Print and collateral
• Own the print pipeline end to end, brief the external graphic designer, review proofs for accuracy, secure internal approvals, and order through the print vendor
Maintain the provider rack card series, location brochures, and the practice-wide brochure as providers, addresses, and services change
• Keep in-office patient screen content (PatientPoint) current
Website
• Make routine updates on the Webflow site: provider bios, office hours, addresses, insurance list, and announcements
• Scope and project-manage larger website projects with the external developer: write clear tickets, set timelines, and QA before publishing
• Monitor appointment-request and referral forms to confirm submissions route correctly
Local search, advertising, and reputation
• Keep Google Business Profiles accurate and active for every location
• Coordinate with the external SEO consultant and Google Ads agency; review their monthly reports and flag what is working and what is not
• Support the patient review program and keep directory listings accurate
Reporting and project management
• Own monthly marketing reporting: consolidate Google Ads, Google Business Profile, website and form analytics, SEO results, and outreach activity into one clear view
• Present results to practice leadership in plain business terms: what worked, what did not, what it cost, and what you recommend next
• Maintain simple tracking for referrals, events, campaign spend, and print inventory
• Run the marketing project board in Asana and keep stakeholders current on status, blockers, and decisions needed
• Route all clinical content to the Medical Director for sign-off before anything is published
What you bring
• 6+ years of marketing experience, ideally in healthcare, a medical practice, or another local service business
• Presence: you can walk into a physician's office or staff a booth and make a strong impression
• Organization and attention to detail, with a track record of managing outside vendors (designers, printers, developers, agencies) and keeping projects on deadline
• Strong reporting skills: you know which numbers matter, can connect activity to new-patient results, and can spot a trend or a problem in the data
• Confidence presenting to executives, leading with the takeaway
• Proficiency in Microsoft Office, including working Excel skills (sorting, filtering, basic formulas, charts) and PowerPoint and Word for leadership presentations and documents
• Comfort using AI tools (such as ChatGPT or Claude) to speed up drafting, research, and reporting, with the judgment to fact-check output before it reaches patients, providers, or print
• Working knowledge of a website CMS (Webflow, WordPress, or similar) and Google Business Profile
• Clear, professional writing for patients, providers, and leadership
• Valid driver's license and reliable transportation for regular travel between offices and events
Nice to have
• Bilingual English/Spanish
• Familiarity with HIPAA basics and healthcare marketing compliance
• Experience with Asana, Figma (reviewing design files), JotForm, or Google Ads reporting
• An existing network in the Orlando healthcare or business community
What we offer
• Competitive salary commensurate with experience [insert range if posting requires]
• Health, dental, and vision coverage; 401(k); paid time off and holidays [confirm current benefits]
• Mileage reimbursement for travel between offices and events
• A visible role with direct access to leadership and clear ownership of results in a growing, physician-led practice
