The Role
The Marketing Programs Specialist is responsible for the planning, coordination, execution, and continuous improvement of Energy Toolbase's marketing campaigns, educational programs, webinars, events, and content publishing operations. This role serves as the operational hub of the marketing team, translating approved strategies into organized, high-quality execution while ensuring programs launch on time, on brand, and with clear measurement and follow-through.
Working closely with Marketing, Product Marketing, Design, Sales, and Marketing Operations stakeholders, the Marketing Programs Specialist manages production timelines, dependencies, workflows, and quality assurance processes that support ETB's demand generation and brand awareness objectives.
Essential Duties and Responsibilities
- Translate approved campaign strategies and briefs into detailed production plans, milestones, timelines, dependencies, asset requirements, and launch checklists.
- Coordinate and execute webinars and educational programs, including scheduling, speaker management, promotion, rehearsal coordination, event production, attendee experience, and post-event follow-up.
- Manage conference and event logistics, including vendor coordination, contracts, registrations, travel arrangements, booth requirements, promotional materials, lead capture readiness, and post-event reporting.
- Maintain and manage publishing workflows for blogs, landing pages, email campaigns, and social media content, ensuring proper approvals, version control, scheduling, and quality assurance.
- Coordinate cross-functional activities among marketing, product marketing, design, web, automation, and sales teams to ensure successful campaign execution.
- Maintain the master marketing calendar and proactively identify scheduling conflicts, resource constraints, risks, and dependencies.
- Ensure marketing programs have defined objectives, target audiences, calls to action, measurement plans, and lead follow-up processes prior to launch.
- Monitor campaign execution and provide regular status updates, identifying risks, roadblocks, and required decisions.
- Develop, document, maintain, and improve marketing playbooks, standard operating procedures, workflows, and quality assurance processes.
- Track program performance and support post-campaign reviews to identify lessons learned and opportunities for process improvement.
- Maintain campaign documentation, project records, reporting data, and operational assets in an organized and accessible manner.
- Continuously evaluate marketing operations processes and implement improvements that increase efficiency, quality, consistency, and scalability.

- Experience managing timelines, priorities, dependencies, and competing deadlines in a fast-paced environment.
- Proficiency with marketing, CRM, webinar, project management, and collaboration platforms.
- Ability to identify operational challenges and implement practical process improvements.
- Strong analytical and problem-solving skills.
- Ability to maintain professionalism and effectiveness under tight deadlines and changing priorities.
- Self-motivated with a continuous improvement mindset and a strong sense of ownership.
Education and Experience
- Bachelor's degree in Marketing, Communications, Business Administration, or a related field, or an equivalent combination of education and experience.
- Minimum of four (4) years of experience supporting or coordinating B2B marketing campaigns, webinars, events, content operations, or marketing programs.
- Experience in SaaS, software, renewable energy, or other technical industries is considered an asset.
- Demonstrated experience coordinating projects across multiple stakeholders and departments.
- Experience supporting content publishing, event management, campaign execution, and marketing operations processes.
- Experience with CRM, marketing automation, webinar, and project management platforms preferred.
