Marketing Project Manager - Waterbury
Job Summary:
The Marketing Project Manager is responsible for driving the planning, coordination, and execution of complex marketing initiatives across the organization. Reporting to the VP of Marketing, this role serves as a central connector across Marketing and its cross-functional partners, bringing structure, visibility, and accountability to the work required to deliver against business and brand priorities.
This role manages projects from intake and planning through execution and completion, ensuring teams are aligned on objectives, scope, responsibilities, timelines, dependencies, and deliverables. The Marketing Project Manager does not own the strategy or functional expertise behind every initiative. Instead, they create the conditions for teams to execute that work effectively, helping translate priorities into actionable plans, identify risks early, facilitate decisions, and keep work moving.
The ideal candidate is highly organized, proactive, comfortable navigating ambiguity, and skilled at bringing clarity to complex, cross-functional work. They understand how to balance process with progress and know when structure will help a team move faster versus when it creates unnecessary friction.
Key Responsibilities
Project & Program Management
- Lead project management for priority marketing initiatives, campaigns, launches, activations, and cross-functional programs from planning through completion.
- Translate strategies and priorities into clear project plans with defined scope, milestones, deliverables, owners, dependencies, and timelines.
- Establish and maintain visibility into project status, upcoming milestones, decisions needed, and potential risks.
- Proactively identify roadblocks, competing priorities, resource constraints, and dependencies and work with appropriate stakeholders to resolve or escalate them.
- Facilitate project kickoffs, working sessions, status meetings, retrospectives, and other project-related meetings as needed.
- Ensure decisions, commitments, and next steps are clearly documented and followed through.
- Ensure project members and stakeholders understand their role within the project, through RACI or similar framework.
Marketing Planning & Workflow
- Support the VP of Marketing and Marketing Leadership Team in translating annual and seasonal priorities into coordinated plans and workflows, managing the operating cadence that connects longer-term marketing plans with day-to-day execution.
- Maintain visibility across the Marketing portfolio to help identify competing priorities, timing conflicts, dependencies, capacity constraints, and opportunities for greater coordination.
- Partner with Marketing leaders to establish clear intake, prioritization, briefing, review, approval, and delivery processes.
- Partner with Marketing leaders to assess the impact of new or changing priorities on existing commitments, timelines and team capacity, helping facilitate clear prioritization decisions.
- Help ensure teams understand how individual projects connect to broader Marketing and business priorities.
- Support planning and coordination across Brand, Content + Creative, Integrated Marketing, and other Marketing functions.
- Serve as the operational lead for creative initiatives by managing intake, prioritization, capacity planning, and resource allocation from concept through delivery.
Cross-Functional Coordination
- Serve as a key connector between Marketing and cross-functional partners including Sales, Product Development, Finance, Operations, E-Commerce, and other teams.
- Coordinate cross-functional workstreams and ensure responsibilities, expectations, deadlines, and dependencies are understood.
- Facilitate alignment when projects require input or decisions from multiple stakeholders.
- Identify gaps in ownership or communication and work with appropriate leaders to establish clarity.
- Build strong working relationships across functions and levels of the organization to enable effective collaboration.
Process & Continuous Improvement
- Develop and improve project management tools, templates, processes, and ways of working that make Marketing more effective and efficient, including onboarding and campaign templates.
- Evaluate existing workflows and recommend improvements that reduce unnecessary complexity, duplication, or bottlenecks.
- Establish appropriate levels of process based on the complexity, risk, and importance of the work rather than applying a one-size-fits-all approach.
- Help build consistent project management practices across Marketing and the organization while allowing individual functions flexibility in how they execute their work.
- Lead project retrospectives and translate lessons learned into improvements for future work.
- Support adoption and effective use of project management and collaboration tools across the team.
Risk, Accountability & Communication
- Identify project risks early and clearly communicate potential impact to timelines, scope, resources, or business outcomes.
- Escalate issues appropriately when decisions, resources, or leadership intervention are required.
- Create accountability by maintaining clear ownership of deliverables and following up on commitments.
- Provide concise, useful project updates to the VP of Marketing, Marketing Leadership Team, and other stakeholders.
- Help teams distinguish between issues that can be resolved within the project team and those requiring leadership decisions.
- Maintain accurate project documentation and ensure important decisions and changes are captured.
Qualifications
- 5+ years of experience in project management, marketing operations, integrated marketing, or a related field, preferably within a complex or cross-functional organization.
- Demonstrated experience managing multiple concurrent projects with competing priorities, stakeholders, and deadlines.
- Strong project planning and organizational skills with exceptional attention to detail.
- Excellent written and verbal communication skills, including the ability to communicate clearly with both working teams and senior leaders.
- Strong facilitation skills and the ability to move groups toward clarity, decisions, and action.
- Demonstrated ability to identify risks, dependencies, and resource constraints before they become significant issues.
- Ability to influence and create accountability without relying on direct authority.
- Sound judgment and comfort determining when to solve, when to facilitate, and when to escalate.
- Experience with project management and collaboration platforms.
- Comfortable operating in an environment where priorities evolve and not every problem arrives with a predefined process.
- Experience working within a consumer brand, retail, e-commerce, or product-driven organization is a plus
