Job Summary (Primary Role)
The primary role of the Marketing Reporting Assistant is to work under the direct supervision of the Marketing Coordinator to oversee program enrollment and ensure meticulous program auditing. This includes providing accurate reports for vendors, managing accounts on Weblink, and supporting the broader marketing reporting division to ensure cross-departmental compliance.
Job Duties and Responsibilities
Program Management & Auditing

  • Verify customer program enrollments to ensure total compliance and accuracy of new entries before final submission to manufacturers.
  • Perform comprehensive program auditing and complete tracking for dealer programs, submitting final reports to vendors on a monthly basis.

Account & Billing Maintenance

  • Maintain and set up new accounts on Weblink.
  • Maintain and set up "can/can't buy" files.
  • Issue Road Hazard customers' monthly billing.

Vendor & Sales Coordination

  • Work directly with vendors and report any immediate problems to the Marketing Coordinator.
  • Issue dealer credits for various programs, rebates, and purchase incentives.

Professional Development & Leadership

  • Gain a general understanding of all associate dealer programs (Level II).
  • Gain an in-depth, comprehensive understanding of all programs (Level III).
  • Assist in the training and development of incoming Marketing Reporting Assistants during the new-hire process (Level III).
  • Keep operational procedures completely up to date to ensure peak performance and department consistency, prioritizing maximum accuracy (Level III).
  • Perform various miscellaneous administrative tasks, including process typing or mailings requested by the Marketing Coordinator.

  • Must be highly proficient in Excel, Word, and PowerPoint.
  • Ability to prioritize, organize, and manage time effectively.
  • Ability to communicate effectively and express ideas clearly in both written and oral communications.
  • Possess a positive, friendly, and helpful attitude; show concern and handle internal/external questions accordingly.
  • Ability to work independently and exercise strong decision-making skills.
  • Ability to work while seated for prolonged periods.
  • Ability to work overtime, some weekends, and travel as required.
  • Knowledge of and ability to use basic office equipment (computer, telephone, copier, and calculator).

Minimum Qualifications
Level I Minimum Qualifications: High School Diploma or equivalent experience. Intermediate Excel, Word, and Power Point skills.
Level II Minimum Qualifications: Requirements for Marketing Reporting Assistant I; Plus, 2 years business or related degree or equivalent experience.
Level III Minimum Qualifications: Requirements for Marketing Reporting Assistant II; Plus, advanced Excel, Word and Power Point skills, ability to serve as backup to one other position within department.
